Position Overview

We are seeking a highly organized, proactive and tech savvy Executive Assistant to support the Chief Operating Officer in a fast-paced remote environment. This role is essential to helping our executive leadership stay focused and effective.

You’ll be prioritizing, organizing, and enabling operational functions. The ideal candidate is comfortable with ambiguity, a strong communicator, experienced in complex workflows, and thrives in bringing structure to a dynamic environment.

In addition to day-to-day responsibilities, you may be called upon to support the CEO on special initiatives, including research, reporting, and project coordination. This role requires discretion, initiative, and strong project execution skills.

Key Responsibilities

Provide high-level administrative support to the COO, including managing incoming requests and filter/prioritize items for the COO’s attention
Implement systems to reduce overload
Track timelines and progress across initiatives; follow up to ensure timely execution
Assist with research and implementation planning of technology, digital workflow tools, and automation opportunities to improve operational efficiency (i.e., Agentic AI, Zapier, Slack)
Draft, edit and format communications and reports
Maintain and update key administrative records and systems
Vendor management, including onboarding support and liaison
Calendar management and meeting coordination
On an as-needed basis, provide direct support to the CEO on special projects—this may include research, data collection, communications, or project coordination

Qualifications

5+ years of administrative experience supporting senior leadership, preferably in a consulting, financial, or tech setting
Strong project coordination and task management skills; able to juggle multiple initiatives with minimal oversight
Excellent communication skills, with a keen eye for detail and tone. Able to draft professional correspondence and summarize complex ideas clearly.
Advanced Excel skills required; familiarity with relational databases is a plus
Familiarity with Quickbooks is a plus for pulling reports and providing back-up
Highly proficient with Microsoft Office Suite, Zoom, Slack (including Lists & Canvas), and task/project management tools
Experience with Zapier or other automation tools
Proficiency with internet research and AI tools like ChatGPT, Claude, or other LLMs
Proven ability to maintain confidentiality and exercise sound judgment
Prior experience and a track record of reliability and self-motivation in a fully remote role
