Glimpse of the Job

As staff of the Texas A&M University Chemistry Department’s Center for Administrative Support, the Administrative Coordinator I will execute a wide variety of administrative, secretarial, and program support functions on behalf of faculty of the department.

Opportunities to Contribute:

Manages the offices of research groups and serves as a primary information resource on office support methods and processes.

Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies.

Gathers, enters, and/or updates data to maintain departmental records and databases.

Monitors and coordinates accounting activities and assists in preparation of internal reports for management.

Responsible for office organization and maintaining office supplies and equipment.

Deals with administrative problems and inquiries from research directors and research group members.

Coordinates travel arrangements and itineraries and completes travel and leave requests.

Interfaces with scientists to plan and provide logistical and administrative support to organize symposia at scientific meetings.

Assists with planning and facilitates for departmental events of varying sizes.

Coordinates and manages all business matters for the research laboratory.

Assists in the preparation and submission of research grant proposals and the management of post-award and budget activities.

Assists with preparation of reports for submission to funding agencies.

Handles all non-scientific pre- and post-publication aspects of the research groups’ journal/book publishing activities.

Coordinates with IT to maintain the group websites and make any updates.

Interacts with large number of undergraduates and graduate students in courses taught by supervisors.

When assigned to do so, keeps record of grades, assists with preparation and creation of class materials and coordinates the printing and reproduction of exams.

Qualifications

Bachelor’s degree or equivalent combination of education and experience.

Two years of experience in office administration.

Interpersonal and communication skills.

Planning and organization skills.

Salary: Compensation will be commensurate based on the selected candidate’s education and experience.

Schedule: May require working during the night and on weekends.
