Position Overview:
We are seeking an Administrative Assistant to join our dynamic team. This role requires an organized, detail-oriented, and reliable individual to support our day-to-day operations, ensuring smooth and efficient office functions. The ideal candidate will have excellent communication skills, a positive attitude, and a proactive approach to problem-solving.
Key Responsibilities:
First Impressions: Greet and welcome guests with a friendly, professional demeanor; manage incoming phone calls and direct them to the appropriate personnel.
Administrative Support: Provide general clerical assistance including managing mail, scanning, faxing, and copying documents.
Meeting Coordination: Schedule and coordinate meetings, and attend to take accurate meeting minutes and distribute them as needed.
Documentation Management: Prepare and maintain communications such as memos, emails, and other correspondence. Download physician orders from the portal and upload them to the appropriate e-files.
Medical Records Handling: Accurately decipher and manage medical documents.
Office Supplies & Equipment: Order office supplies, maintain inventory, and ensure the printer room is clean, organized, and functional.
General Office Duties: Ensure the office remains organized, and assist in maintaining office equipment such as printers and fax machines.
Customer Service: Demonstrate exceptional interpersonal skills, providing a positive experience for all patients, families, and visitors.
Technology Proficiency: Utilize office software (e.g., MS Word, Excel, PowerPoint, SharePoint, and calendar/planner tools), social media, and internal medical software.
Billing & Accounts Receivable: follow up on outstanding payments.
Client Service Agreements: Maintain and update client service agreements.
Assist Executive Director staff with scheduling coordination: Support the scheduling of meetings, appointments, and shifts for the Executive Director team, ensuring efficient time management and proper alignment with operational needs

Required Skills & Qualifications:
Education: Minimum High School diploma or GED required. Associate’s Degree or higher preferred.
Experience: Minimum of 1 year in a receptionist or administrative assistant role, with 2 years preferred.
Communication: Strong written and verbal communication skills, with the ability to communicate professionally and clearly.
Computer Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint, SharePoint, etc.) and calendar/planner software; ability to learn new software quickly.
Medical Knowledge: Basic understanding of medical terminology; experience with PointClickCare or similar medical software is a plus.
Organizational Skills: Ability to prioritize tasks, manage multiple responsibilities, and maintain an organized workspace.
Other Requirements:
Valid Driver’s License and reliable transportation.
Punctuality with excellent attendance.
40 WPM typing speed or higher.
Preferred Qualifications:
Experience in a healthcare setting or familiarity with medical terminology.
Knowledge of healthcare software systems.

The role involves providing professional assistance through in-person interactions, phone calls, and electronic communications. This is a full-time, onsite position located at our corporate office in Brooklyn Park, MN.
