About the Role

We are seeking a highly organised and proactive Intermediate Admin Executive to support our accounting and advisory teams in delivering exceptional client service.

This role is central to the smooth operation of our business. You will work closely with accountants and advisers, assisting with client administration, document management, workflow coordination, scheduling, and day-to-day operational support.

The ideal candidate is detail-oriented, thrives in a fast-paced environment, and enjoys helping others stay organised and productive.

Key Responsibilities

> Administrative & Operational Support

• Provide day-to-day administrative support to accountants and advisers managing a portfolio of clients

• Assist in coordinating workflows, deadlines, and client deliverables

• Support the preparation, organisation, and processing of client documentation

• Maintain accurate records and ensure information is properly filed and tracked

• Assist with data entry, reporting, and administrative tasks as required

> Client & Communication Management

• Serve as a point of contact for client administrative queries

• Coordinate client communications and follow-ups

• Ensure client requests are actioned promptly and professionally

• Assist in scheduling meetings and managing calendars for team members

• Support onboarding and ongoing client administration activities

> Document Management & Systems

• Prepare, review, and process documents with a high level of accuracy

• Manage document workflows through internal systems and platforms

• Ensure client records remain up to date and compliant with internal procedures

• Assist with process improvements and administrative efficiencies

• Support the maintenance of templates, registers, and administrative resources

> Team Coordination

• Support accountants and advisers in meeting client deadlines

• Assist with report preparation, formatting, and document collation

• Coordinate tasks across multiple stakeholders to ensure smooth workflow management

• Help identify opportunities to improve internal processes and team productivity

What We're Looking For

Essential

• Minimum 2 years' experience in an administrative, executive assistant, client services, or professional s services support role

• Strong organisational and time management skills

• Excellent verbal and written communication skills

• High attention to detail and commitment to accuracy

• Ability to manage multiple priorities and competing deadlines

• Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel

• Ability to work independently and take ownership of tasks

Highly Regarded

• Experience within an accounting, bookkeeping, financial services, or professional services environment

• Experience using Xero

• Experience using FYI, XPM, or similar practice management systems

• Accounting, bookkeeping, or business administration qualifications

• Exposure to client administration and document management processes
