We’re now looking for a high-caliber Executive Assistant to support members of our founding team and play a critical role in driving operational excellence and business efficiency.

About the Role

This is not your typical administrative position. As Executive Assistant to one of our founders, you’ll operate at the center of the business – balancing executive support with high-level coordination across operations, marketing, and team communications. You’ll be trusted with sensitive information, integral workflows, and high-priority initiatives that require both strategic thinking and meticulous execution.

This role offers meaningful exposure to executive decision-making and company strategy, with the opportunity to grow in scope and responsibility based on performance and business need.

Key Responsibilities

Executive & Administrative Support

Manage complex calendars, meeting coordination, and travel logistics across time zones.
Prepare briefing materials, agendas, meeting recaps, and follow-ups.
Maintain visibility on key action items and help ensure follow-through.

Real Estate Operations & Internal Systems

Support backend workflows related to listings, leases, board packages, and client onboarding.
Track commissions, manage vendor payments, and assist with basic budget reporting.
Maintain digital organization across CRM platforms, file systems, and deal pipelines.

Marketing & Brand Coordination

Coordinate with internal and external stakeholders to execute campaigns and branding initiatives.
Assist with social media scheduling, listing launches, and collateral preparation.
Help ensure consistency and polish across all marketing and client-facing materials.

Project Management & Cross-Functional Execution

Manage timelines and deliverables across strategic projects and team initiatives.
Conduct research, compile reports, and create presentation materials.
Serve as a behind-the-scenes driver of momentum across departments.

Communication & Relationship Stewardship

Act as a liaison between executives and team members, clients, and vendors.
Draft internal and external correspondence with professionalism and discretion.
Protect executive bandwidth while keeping the broader team informed and aligned.

What We’re Looking For

3–5 years of experience in executive support, operations, or team coordination, with real estate experience required.
Comfortable operating in a high-volume, high-pressure environment with poise and discretion.
Organized, process-driven, and systems-minded; able to create structure from ambiguity
A confident communicator with excellent written and verbal skills
Technologically fluent: Google Workspace, Microsoft Office, Dropbox, Zoom; bonus if familiar with HubSpot, Canva, Mailchimp, or Squarespace.
Team-oriented and dependable, with a “no task too small” mindset and proud to contribute at every level of the business.

Compensation & Benefits

$75,000–$90,000 annually, commensurate with experience
Eligible for an annual discretionary bonus, based on individual performance and overall company success
Full benefits package, including paid time off (PTO)
In-person role based in New York City, 5 days a week
