Location:Shelter Box HQ, Truro, Cornwall -Please note this role requires someone based in Cornwall and will be hybrid with the week split between office andworking from home.

Shelter Box is striving to provide outstanding information systems and technology that will maximise our fundraising and operational capability through the implementation of new software and analysis solutions that support both our fundraising objectives and the efficient delivery of aid to our beneficiaries. To support the 5-year Business Strategy, Shelter Box has launched a full Business Systems Transformation (BST) project which will deliver end to end functionality covering CRM, ERP, Supply Chain,Project Managementand HR/Payroll and this IT Project Administrator role will play a significant part in the successful delivery of all elements of this BST project.

Reporting to the Head of IT but mainly working closely with Shelter Box BST Project Managers, the successful candidate will operate within the IT Team and will contribute effectively in order to help us deliver the BST implementation on time, on budget and to the agreed scope of the deployment.

Who are we looking for?

We are looking for an enthusiastic individual with good IT software project experience in an administrative role, who wants to play an important part in the biggest technology transformation in the charity’s history.

This is a new fixed term role at Shelter Box for the BST, and we are seeking a strong organiser who can support the two Project Managers with administrative tasks and supporting activities. The successful candidate will be responsible for keeping the projects moving forward by ensuring everyone has what they need.

The ideal candidate will have outstanding organisation andcommunication skillsthat will drive business transformation and the implementation of information systems that make a real difference, both to the way we engage with our supporters, and deliver aid to our beneficiaries.

Duties will include but not be limited to:

Working closely with the two BST Project Managers, provide support and administration for the following tasks:

Booking meetings/facilities & ensuring attendee confirmation, attendance with notes/action minuting and dissemination

Circulating updates of highlight/budget reports and summaries

Budget tracking administrative tasks

Administration of the RAID log – Risk, Actions, Issues & Decisions

General project and ad-hoc communications to all stakeholders both internal and external

Assist with procurement activities

Support with managing the project schedules

Prepare and distribute project materials

Own updates to and support of project SharePoint sites

Function as a key touch point and influencer for all projects

Carry out any other IT Project related activities as may be required from time to time

Keep within the charity’s aims and objectives
