Position Summary
The Facilities Operations Office Manager plays a critical role in supporting the daily operations of the Facilities department by managing the work order system, financial reporting, and billing processes. This position is responsible for providing primary front desk coverage, handling receptionist duties, and managing the department’s email and phone communications. Additionally, the Office Manager oversees student workers, ensuring they are trained and performing their duties effectively. The role also includes coordinating the pick-up of hazardous and medical waste, ensuring compliance with safety and environmental standards. As time permits, the Facilities Operations Office Manager provides valuable support to both the Facilities Operations Manager and the Assistant Director of Environmental Safety, assisting with various operational tasks and projects as needed.

Position Competencies and Accountabilities
Support office and trades staff with day-to-day facilities tasks and operations.
Ensure invoices are billed correctly and properly coded to appropriate accounts.
Manage the work order system to include data entry of work orders, request additional information as needed and respond to inquiries, and generate reports for staff.
Coordinate and communicate with contractors and the Campus community regarding to provide timely updates on project progress and changes.
Maintain, prepare and submit documentation for end of year DNR reports.
Assist in the coordination of the pick-up of all hazardous and medical waste.
Supervise student workers to include hiring, training, approving time, and managing their work flow and performance.
Provide friendly, professional customer service for Campus and Facilities Operations front desk.
Manage the department inbox and phones.
Manage waste management and pest control.
Organize and schedule department meetings.
Manage and order office supplies.
Perform other duties as assigned.

Education and Work Experience
High school diploma or equivalent preferred, but not necessary.
