Administrative Assistant

What You’ll Do
Office & Administrative Support
Welcome and assist employees, clients, and guests at reception.
Handle incoming and outgoing mail, including sorting and distribution.
Manage office supply orders, acquisitions, and distribution.
Receive and organize packages, including marketing materials and printed items.
Oversee office and training room sanitation efforts.
Assist with IT requests and maintain follow-up schedules.
HR & New Hire Support
Support new hire orientation, including assembling training materials and setting up workspaces.
Collect and process I-9 documentation.
Maintain company apparel, including ordering and distributing scrubs and t-shirts.
Greet and check in candidates for interviews and notify hiring managers upon arrival.
Event & Meeting Coordination
Schedule and coordinate meetings across teams.
Assist in planning and executing group events.
Organize and order lunches for new hire orientations and team events.
Maintain an updated company calendar and track deadlines.
Project & Communication Support
Assist with special projects as needed.
Process and manage the monthly podcast calendar, including scheduling and recording.
Maintain up-to-date org charts and communication documents.
Coordinate repairs and follow-ups for training and podcast room equipment.
What You Bring to the Table
Required Qualifications
Experience: Minimum 2 years as an administrative assistant or in a similar support role.
Communication Skills: Strong verbal and written communication, with the ability to interact professionally with all levels of staff.
Organizational Abilities: Detail-oriented and able to juggle multiple tasks efficiently.
Technology Skills: Comfortable using scheduling tools, office software (Microsoft Office, Google Suite), and HR platforms like Paycor.
Interpersonal Skills: A team player with a positive attitude who thrives in a dynamic environment.
Problem-Solving Mindset: Ability to take initiative and handle challenges with a solutions-driven approach.

Additional Information
Location: This position is based primarily in Southfield, MI, with occasional travel to clinics in Metro Detroit.
Schedule: Full-time, Monday-Friday.
