Job Description

We are seeking a proactive and organised Junior Admin to support our management team with day-to-day administrative and operational tasks. This role is ideal for someone who is highly detail-oriented, enjoys coordinating logistics, and thrives in a fast-paced international environment. Based in Porto, you will play a key role in ensuring smooth internal operations by supporting travel management, expense handling, documentation, and general administrative coordination.

Key Responsibilities

1. Travel & Logistics Coordination

  • Coordinate business travel arrangements, including flights, accommodation, transportation, and itineraries.
  • Manage travel schedules and support employees with travel-related requests.
  • Ensure all bookings are aligned with company policies and budget guidelines.

2. Administrative Support

  • Provide day-to-day administrative support to the management team.
  • Assist with calendar coordination, meeting scheduling, and internal communications.
  • Support routine operational and organisational tasks across different teams.

3. Expense & Invoice Management

  • Review and process employee expense submissions in an organised and timely manner.
  • Track invoices, receipts, and financial documentation to ensure accuracy and compliance.
  • Coordinate with finance and external suppliers regarding invoices and payment follow-ups.

4. Documentation & Organisation

  • Maintain organised records, documentation, and administrative files.
  • Support the preparation of internal documents, reports, and presentations when required.
  • Ensure operational processes and administrative workflows remain efficient and up to date.

5. Team & Office Support

  • Provide support for internal meetings, workshops, and team events when needed.
  • Assist with office coordination and general operational needs.
  • Contribute to maintaining a positive, collaborative, and well-organised work environment.

Required Skills

Essential Experience

  • 1–3 years of experience in an administrative, office support, or coordination role.
  • Experience managing travel bookings and administrative logistics.
  • Previous exposure to expense management, invoice organisation, or finance-related administrative tasks.
  • Comfortable working in a dynamic, international environment.

Professional Skills

  • Strong organisational and multitasking abilities.
  • Excellent attention to detail and problem-solving mindset.
  • Good communication skills and ability to interact with different stakeholders.
  • Proactive, reliable, and service-oriented attitude.
  • Ability to manage priorities and work independently.
  • Good knowledge of Microsoft Office tools.

Nice to Have

  • Experience supporting management or leadership teams.
  • Exposure to international business environments.
  • Fluency in both Portuguese and English.
  • Experience with expense management or travel booking platforms.
