About the Role
The Junior Administrative Assistant provides administrative support services for the organization, ensuring essential day-to-day operations are running smoothly and is responsible managing the front reception area during key business hours. This role will work closely with the Executive Administrative Assistant to achieve the overall administrative responsibilities for AtomVie. This is an onsite role with core office hours of Monday-Friday 8:30 pm to 4:30 pm.
What You Will Do
Welcoming guests, directing them to the appropriate person or department, and ensuring a positive first impression.
Answer, screen, and forward incoming reception phone calls.
Support essential day-to-day operations including but not limited to maintaining a clean and organized reception area, meeting rooms, main social café and servery areas.
Running any daily maintenance required in the Social Café and servery areas
Ensuring copy & print stations are tidy and offices supplies stocked
Coordinate with the Executive Administrative Assistant regarding any cleaning contractor issues, required office work orders or required supplies
Assistance with customer or external visits/meetings including coordination of agenda timing, meeting room bookings, meals/catering required, calendar invites and visitor app coordination.
Assistance with internal department meetings including coordination of agenda timing, meeting room bookings, meals/catering required, calendar invites
Managing appointments, calendars, and meeting room bookings as required
Assisting with any staff travel as required.
Receiving, sorting, and distributing mail.
Assistance with event planning for All Staff meetings or Company events
Other duties as required
Requirements
Minimum post-secondary education required, College diploma preferred
Superior organizational and time management skills with ability to multitask
Demonstrated pleasant, friendly manner
Organizational ability and attention to detail
Excellent meeting coordination: scheduling, confirming attendees, arranging logistics.
Respectful interpersonal skills: collaborative, personable, and professional.
Handle confidential/sensitive material with discretion, exercises tact and diplomacy.
Proven experience as an accounting/administrative assistant (preferably 3-5 years)
Proficiency in MS Office
Calendar management through Outlook an asset
Excellent written and verbal communication skills
