Role Summary
As a Junior Executive Assistant, you’ll be immersed in a fast-paced setting where every day presents new challenges.
Responsibilities:
Coordinate and schedule meetings, appointments, and travel arrangements, including logistics and accommodations
Handle incoming calls, inquiries, and requests, redirecting them as necessary and ensuring prompt resolution
Act as a liaison between the Executive Assistant and internal/external stakeholders, maintaining professional communication and confidentiality
Provide administrative support for special projects and initiatives
Maintain an organized and efficient office environment, including filing systems, supplies management, and office upkeep
Assist with house management responsibilities
Assist with organization of family and children’s scheduling
Provide backup support to executive office team across scheduling and day-to-day operations including running errands as needed
Prepare and edit documents, reports, and presentations as required, ensuring accuracy and adherence to company standards.
Handle confidential information with discretion and integrity, maintaining the highest level of professionalism at all times
Collaborate with various internal and external teams to ensure smooth daily running of the principal’s personal and professional life
Qualifications:
Minimum of 1-2 years as an administrative assistant or similar role
High school diploma required; additional certifications are advantageous
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively
Strong attention to detail and accuracy in handling administrative tasks, including managing calendars, emails, and documents
Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels
Must be a team player and have a “no task is too big or too small,” attitude while wearing multiple hats
Must be able to pass an in-depth background check and provide excellent references
Must have a valid driver’s license and reliable transportation
Ability to maintain confidentiality and exercise sound judgment in all interactions
Humble, hardworking, sincere, coachable and a desire to continue to grow
Strong problem-solving skills with a proactive and solution-oriented approach and ability to meet deadlines under pressure
Must be comfortable working in a fast-paced and ever-changing environment, with the flexibility to adapt to evolving priorities and schedules including working outside of standard business hours as needed
Familiarity with standard office equipment and applications
