Job Summary
Under general supervision, the Justice Clerk performs a variety of administrative and accounting support functions for a Hays County Justice of the Peace. The work involves preparing and processing forms and orders related to small claims, civil, criminal, and traffic cases, as well as accepting payments and issuing receipts. This position may also serve as a court clerk as needed, impacting the accuracy and reliability of court processes in a high-volume office serving a large population.
Responsibilities
Process official documents such as citations, judgments, warrants, complaints, affidavits, subpoenas, notices, jury lists, and form letters.
Maintain court dockets; schedule court dates, hearings, and trials, including jury trials.
Coordinate court dates with attorneys and law enforcement.
Assist the Judge in the courtroom by providing accurate case information.
Collect fines and issue receipts.
Enter case records and orders into the computer system.
Prepare case files for court hearings, including judgments, warrants, and complaints.
Train employees on procedures for processing civil and criminal cases.
Accept and record pleas; manage transactions related to citations, warrants, pleas, and orders.
Manage cash drawer, balance, and prepare deposits.
Approve installment payment agreements; process fee/fine payments and record dispositions.
Assist customers in person and by phone, explaining procedures and forms.
Prepare and transmit documentation for warrants and notifications.
Serve as liaison with defendants, plaintiffs, judges, law enforcement, attorneys, and other agencies.
Assist with inquest inquiries and process legal documents like evictions, small claims, writs, and judgments.
Perform receptionist duties and routine office tasks such as notarizing and copying documents.
Perform other duties as assigned.
Requirements
High School Diploma or equivalent.
Minimum of three years’ experience as a county court clerk or related role.
Preferred:
Court Clerk Certification through Texas Justice Court Training School.
Bilingual in Spanish and English is preferred.
Ability to obtain Notary Public Certification and maintain continuing education in Texas.
