Job Summary
We are seeking a dedicated and highly organized Part-Time Administrative Assistant & Site Inspection Officer to support our security operations. The ideal candidate will have a strong attention to detail, excellent communication skills, and the ability to manage multiple tasks efficiently. The role involves a combination of administrative tasks and site inspections to ensure the safety and smooth functioning of our security operations. This position is not a remote position you will be expected to be in the office when performing administrative duties.
Key Responsibilities:
Administrative Duties:
Review daily security officer reports and ensure they are submitted on time.
Schedule security guards, ensuring adequate coverage at all times.
Handle callouts for security guards and arrange replacements as needed.
Be available for on-call overnight duties.
Maintain and update employee files, ensuring all records are current and accurate.
Ensure all employees have up-to-date certifications.
Conduct uniform inspections and manage uniform orders.
Post announcements and updates on the company’s digital bulletin board.
Respond to tickets and inquiries on the bulletin board in a timely manner.
Site Inspection Duties:
Conduct unannounced site visits at times designated by the company.
Verify that all security officers on duty understand and adhere to post orders.
Ensure all security officers are in the proper uniform and equipped with necessary company gear.
Inspect all company equipment to confirm it is in good working order.
Complete a guard inspection report for each officer on location.
Confirm that all security officers have valid certifications and company IDs.
Dispatch Duties:
Monitor radio communications during shift changes to ensure each guard is signed in and on duty.
Ensure guards are logged into the scheduling app and on the radio as required.
Requirements:
Previous experience in administrative support or security operations is a plus.
Strong attention to detail and organizational skills.
Excellent communication skills, both written and verbal.
Ability to work independently and manage time effectively.
Ability to perform site inspections and handle responsibilities on-site.
Must be comfortable being on-call overnight.
Reliable transportation and ability to conduct unannounced site visits.
Proficiency in using digital tools, scheduling apps, and radio communication systems.
