Job Summary:
The Leasing Administrative Executive plays a key role in supporting the leasing team by managing administrative functions, coordinating lease documentation, and maintaining strong tenant relationships. This position ensures seamless lease processes, accurate records, and effective communication between landlords, tenants, and internal departments.

Key Responsibilities:
Â
Prepare, review, and process Letters of Offer, Tenancy/Lease Agreements, amendments, renewals, and termination documents.
Ensure all lease documentation complies with company policies and legal standards.
Coordinate the lease signing process and ensure timely submission and proper execution of all lease-related documents.
Monitor security deposits and manage lease-related financial transactions.
Maintain accurate lease records, tenancy schedules, and the leasing database (Tenant Management System), as well as organized physical and digital filing systems.
Track lease expiry dates and coordinate timely renewals.
Assist in the preparation, updating, and submission of Quality Control Reports.
Support the implementation and upkeep of the Quality Management System in accordance with ISO 9001 requirements.
Assist in the review and updating of leasing policies and standard operating procedures.
Provide administrative support for leasing events, site visits, and marketing initiatives.
Perform general administrative duties to support the leasing function.
Liaise with tenants and coordinate with internal departments (Legal, Finance, Operations, Marketing, etc.) as needed.
Manage general office duties and carry out any other tasks assigned by the Superior.

Requirements:
Â
Diploma or Degree in Business Administration, Real Estate, or a related field.
Minimum 1–2 years of administrative experience, preferably in leasing or property management.
Good command of English and Mandarin (both written and spoken).
Proficient in Microsoft Office (Excel, Word, PowerPoint) and experience with leasing/property management systems is a plus.
Strong attention to detail with proactive and positive attitude.
Able to manage multiple tasks and work independently under tight deadlines, reliable, responsible and honest.
Good communication, interpersonal, problem-solving and organizational skills.
