The Legal Admin Executive is responsible for supporting the administrative operations for the Legal & Compliance department (“L&C Department”), ensuring that records and documents are managed systematically, accurately, and securely, while also supporting the department's operational activities.
Key Responsibilities:
1. Document filing:
- Organize, arrange, and categorize documents systematically (both online and offline) at the centralized document storage and management system;
- Manage and monitor the legal library, conduct research and provide documents as requested by members of the L&C Department and Business Units (“BUs”).
2. Administrative and clerical support:
- Perform internal administrative procedures (e.g., ordering stationery, submitting documents for signing, receiving, digitalizing or sending correspondence/official letters,…);
- Execute electronic signing and stamping (e.g., iSign) in assigned cases;
- Perform printing, scanning, photocopying, and binding of documents;
- Manage and handle internal payment processes: advances, credit card clearances/reimbursements, track monthly transportation expenses (e.g., Grab), and manage internal team funds;
- Organize team engagement activities such as birthdays, teambuilding, and dining events;
- Schedule meetings and book meeting rooms for L&C members upon request;
- Arrange business travel, book flights/hotels, and process advances/reimbursements for travel expenses for L&C members upon request;
- Other tasks as assigned.
Requirement:
Professional Qualifications & Experience:
- College/University degree in Office Administration, Administration, Archival Studies, or related fields;
- At least 2–3 years of experience in an equivalent;
- Proficient in office applications (Microsoft Office: Word, Excel, PowerPoint) and able to quickly learn task management and storage software, AI application.
Skills & Competencies:
- Skills in organizing, archiving, and managing documents;
- Ability to read and comprehend documents in both English and Vietnamese;
- Ability to screen, check, and process a large volume of records and documents;
- Basic knowledge of legal records management;
- Effective and scientific work management;
- Good communication and coordination skills;
- A careful, meticulous mindset, attention to detail, and a high sense of responsibility for work results.
