Join ENERCON as a Project Management Administrator (PMA) and become a key player in driving project success and operational excellence. The PMA is an integral part of the Project Management Organization and is responsible for supporting Project Managers in the planning, execution, maintenance, and closure of projects in ENERCON’s Project Management and Accounting system (ERP system).

In this role, you’ll be responsible for managing and optimizing critical project data within our Customer Relationship Management (CRM) and Project Management systems. Your responsibilities will include reviewing contracts, proposals, and cost estimates to set up projects post-award, creating resource allocations, and ensuring smooth project setups, tasks, and budgets are aligned with authorized funding. You’ll also play a key role in pre-bill and invoice reviews, ensuring accuracy before submission to clients, and producing insightful reports that track project financials and schedules. Responsibilities:

As a PMA, you’ll help project managers maintain ENERCON’s high standards by ensuring projects align with our rigorous Project Management procedures and process guidelines. You’ll also facilitate clear communication with stakeholders, ensuring that all contractual requirements are met and exceeded. Other duties may include:

CRM & ERP Management: Input, update, and manage opportunities and project data in CRM and ERP systems, ensuring accurate project setup, task setup, billing rates, and budget compliance with company policies and client contracts
Contract & Financial Oversight: Process client contracts, amendments, and purchase orders; monitor project funding; and reconcile actual charges to budgets, ensuring financial accuracy and adherence to key performance indicators like revenue and profit margin
Billing & Reporting: Conduct prebill and invoice reviews to ensure accurate billing, resolve discrepancies, and prepare client and internal reports to meet critical deadlines and support project management
Subcontractor & Vendor Coordination: Process subcontractor agreements, purchase orders, and invoices. Monitor subcontractor spend against authorized amounts. Ensure timely payments and compliance with procedural documentation
Stakeholder Collaboration: Foster relationships with Project Managers, Accounting, Project Controls, and other essential stakeholders to align on project goals and financial performance
Quality & Compliance: Coordinate quality assurance and client-required training, review technical documents for readability and procedural adherence, and ensure project schedule compliance
Data Analysis & Problem-Solving: Run reports, analyze data, identify potential issues, and propose solutions to support project success
Team Participation: Engage in project team meetings, provide scheduling updates, and assist in resource allocation and project planning
Qualifications:
Bachelor’s Degree in Business Administration, Finance, or related industry experience in federal government, contract services, or engineering
Minimum 2 years of business administration, project controls or support role in a technical or consulting environment
Demonstrated business/financial aptitude
Must have the ability to effectively balance conflicting priorities
Excellent organization and time management skills, very detail-oriented, and ability to multi-task
Strong analytical skills and demonstrated ability to exercise discretion, judgment and professionalism due to the confidential nature of the project work
Ability to comprehend and carry out instructions and follow tasks to completion with minimal direction
Intermediate to Advanced computer skills including Microsoft Excel (including tables/charts/formulas) and Word (including formatting)
Excellent communicator with the ability to work and communicate across all levels of an organization
Excellent attention to detail
Ability to travel less than 5% of the time
