Job Description:
Stellar Career College is seeking an Administrative Assistant to support our students, staff, and leadership team. This role involves managing student services, enrollment processes, administrative tasks, and financial aid-related responsibilities to ensure a smooth and supportive campus experience. The ideal candidate is detail-oriented, organized, and passionate about student success.

Key Responsibilities:

Student Services Support:
Provide guidance and support to students, connecting them with academic and community resources.
Assist students with program requirements, retention strategies, and other academic needs.
Plan, coordinate, and facilitate student activities, events, and programs to foster engagement.
Serve as a resource for faculty and staff regarding student-related issues.
Enrollment Assistance:
Oversee the registration process, ensuring students meet admissions requirements.
Manage student information systems and databases to track enrollment and key milestones.
Administer entrance exams and provide necessary documentation for prospective students.
Attend career fairs and high school events to promote college programs.
Administrative Duties:
Perform front desk responsibilities, including greeting visitors, managing calls, and responding to emails.
Prepare materials such as new student binders, course catalogs, and timecards.
Maintain office inventory, organize supplies, and ensure an orderly workspace.
Record and distribute minutes from weekly staff meetings.
Handle data entry, filing, and other clerical tasks as assigned.
Assist management or related departments with outreach, marketing, and special projects as needed
Financial Aid Support:
Assist students with application processes.
Advise students and families on financial aid eligibility and award packages.
Assist with financial aid audits and required reporting, including IPEDS and ERR submissions.
Monitor academic progress to confirm student eligibility for aid.

Requirements:

Associate or Bachelor’s degree from an accredited school – or equivalent work experience
Minimum 3 years Administrative and organizational support preferred
Strong organizational and multitasking abilities.
Exceptional communication and customer service skills.
Familiarity with student information systems and financial aid processes
Proficiency in Microsoft Office Suite and database management.
Ability to collaborate in a fast-paced educational environment.

Schedule:

Candidates must be available to work between the hours of 7:00am – 5:00pm, Monday-Thursday

Pay: $20.00 – $23.00 per hour

Expected hours: 25 – 38 per week
