Job Summary: The F&B Administrative Assistant of Oak Hill Country Club supports the Food & Beverage Department with various administrative duties. They provide clerical and administrative support to the Director of Food and Beverage. They must have the ability to promote Oak Hill’s culture and facilities with practical knowledge of food and beverage, costs, preparation and pricing. The individual demonstrates appropriate analytical skills, attention to detail, organizational, and project management skills. They must also have the ability to multi-task and work under deadlines.

Job Requirements
Prepares notices, agendas and other items for the House Committee and Subcommittee meetings with Director of Food & Beverage.
Answers the telephone, acts as a receptionist when necessary.
Takes reservations for club outlets and events as necessary.
Attends meetings with the Director of Food and Beverage, club staff and others; takes minutes and transcribes them for distribution as necessary.
Assists in computer-design tasks related to menus, invitations, announcements, signs and other materials.
Maintains the office area to keep it neat and tidy.
Performs other ad hoc duties as assigned by the Director of Food & Beverage
Daily Responsibilities:
Ensure employees’ timecards are accurate and in line with scheduled time. Communicate any variance with employee’s direct supervisor.
Creates a missed punch form for all Food & Beverage employees and seek a signature from each employee that missed a punch. Turns each signed form in to HR at end of week.
Creates an electronic log tracking each employee’s missed punches. Brings to Managements attention when excessive.
Ensure correct menus (free from errors) are printed for staff to switch over menus.
Creates daily service staff “cheat sheets.”
Updates Jonas POS system daily (food counts, special buttons, menu button, pricing, etc.).
Assists in editing the daily restaurant floor plans and reservation logs as needed.
Creates specialty restaurant and bar signage (Banquet signage when needed).
Supports the service team with new member recognition and personalized preferences.
Weekly Responsibilities:
Creates, edits, and prints daily, weekly, and seasonal menus.
Assists F&B leadership with personalized dining setups for special events (décor, linen, centerpieces, menus, etc.)
Assists F&B leadership with the planning, setup, and execution of Restaurant & Bar Club Events.
Creates specialty restaurant and bar signage (Banquet signage when needed).
Attends weekly F&B meetings – takes meeting notes and provides a meeting recap document to those in attendance.
Assists F&B leadership with weekly sales reports and forecasting.
Supports F&B leadership with supply inventories (organization and ordering).
Oversees employee preference sheets and assists F&B leadership with employee recognition.
Assists F&B leadership with training materials and presentations.
Oversees the F&B uniform program.
Answers the telephone; transfers calls to proper extensions; takes messages for members and staff.
Works on special projects and other tasks assigned by the Director of Food and Beverage.
Assist the Food & Beverage teams with any HR needs coordinating any required meetings with the teams, creating a checklist for the teams.
Creates sign out sheets / logs for all employee meetings creating a log. Follows up with employees that missed any communication. Creates paper trail.
Assists the Beverage Department with monthly inventory as needed.
Processes financial documents such as invoices and tracks as necessary.
New Hires: Ensures paperwork is completed connecting with HR, Sling access, name tags and any other requirements needed to ensure new hires are onboarded properly.
Performs a variety of secretarial duties such as answering telephones, scheduling appointments, typing, photocopying, filing, record keeping and backing up the computer.
Experience:
A minimum of one to two years of hospitality experience at a resort, club or hospitality industry setting focusing on Food and Beverage services (Catering, Banquets, a la carte).
Restaurant and beverage experience a plus.
Education:
High school diploma or general education degree (GED)
Degree from a hotel, hospitality or restaurant school/college preferred.
Licenses & Certificates:
Ability to obtain and/or maintain any government required licenses, certificates or permits.
Valid driver’s license.
Food safety certification.
Alcoholic beverage certification. TIPS / FAIR certified.
Physical Requirements:
Must be able to continuously sit, stand and walk a minimum of 8 hours.
Must be able to lift up to 30 pounds and perform strenuous work lifting.
Must be able to bend, kneel, push and pull over the course of a shift.
All employees must maintain a neat, clean and well-groomed appearance per Oak Hill’s appearance standards.
Will be required to perform job functions outdoors and be exposed to sun, heat, humidity and other elements.
Must be able to work a flexible shift that includes early mornings, nights, weekends, holidays, split shifts, and extended shifts.
Must be 18 years of age.
Must have a reliable form of transportation to and from work.
