Job Overview
A leading financial services firm is seeking a highly organized and detail-oriented Administrative Assistant to join our team onsite in Miami. The ideal candidate will be bilingual (English/Spanish) with excellent communication skills and a strong ability to manage multiple tasks efficiently. This role is essential in supporting daily operations, ensuring smooth administrative processes, and contributing to the overall success of the firm.
RESPONSIBILITIES
Reception & Guest Services:
Greet and welcome visitors promptly and professionally.
Answer, screen, and direct incoming calls; respond to in-person, phone, and email inquiries.
Provide clear, accurate information to visitors and callers.
Ensure the reception area remains tidy, stocked, and presentable.
Offer general support and hospitality to guests.
Administrative & Office Operations
Manage mail and deliveries: receive, sort, and distribute daily.
Organize and schedule meetings, appointments, and conference calls.
Maintain and update contact lists and filing systems (both digital and physical).
Carry out administrative tasks including filing, typing, copying, binding, and scanning.
Handle sensitive information discreetly and maintain confidentiality at all times.
Oversee office supplies: track inventory, place and expedite orders, and verify deliveries.
Support the smooth operation of office equipment; coordinate maintenance and repairs.
Develop and enhance administrative systems for improved efficiency.
Conduct end-of-year file cleanup and archive storage.
Travel & Expense Coordination
Arrange travel and accommodations for senior managers.
Book transportation, hotels, couriers, and other logistics as needed.
Prepare and reconcile expense reports, ensuring compliance with T&E policies.
Personal Support Responsibilities
Assist with making various reservations and personal appointments.
Coordinate with house staff to schedule home repair services.
Manage purchase requests and handle returns as needed.
REQUIREMENTS:
2 to 5 years of proven experience as an Administrative Assistant, preferably supporting executives and their teams
Bilingual – English/Spanish with excellent verbal and written communications skills is a must!
Bachelor’s degree preferred, but not required
High level of proficiency in Office Management systems and procedures
Strong customer service mindset with excellent interpersonal skills and a positive, professional attitude.
Proficiency in Microsoft Office Suite and solid overall computer skills.
Strong organizational, planning, and time management abilities; capable of multitasking and prioritizing in a fast-paced environment.
Experience in Financial Services is a plus.
Job Type: Full-time
Pay: $50,000.00 – $60,000.00 per year
