Summary:

The Administrative and Management Support Specialist will provide administrative and program support for the Director. Will serve as the general point of contact for the Director and senior staff, schedules meetings, prepares correspondence and other materials, and provides other programmatic/administrative assistance as needed. Must have a strong, take-charge mentality.

Essential Job Functions:

Serves as a personal and confidential assistant to the Director. Reviews and keeps abreast of all correspondence and e-mail, determines which will be directed to the senior staff or others in the office.
Establishes computerized suspense system to develop and implement program management.
Receives telephone calls and emails from other parts of the Smithsonian and other Federal agencies; and corporate, philanthropic, and academic communities and staff.
Answers inquiries, refers callers to appropriate individuals, answers questions on behalf of the Director and senior staff and refers to them only those queries requiring personal attention.
Assists in the executive management of the office by providing responsible communications and personal liaison between the senior staff and key staff members.
Serves as the senior staff liaison to other SI units.
Responds on behalf of the Director to invitations, requests for information, and other inquiries (both internal and external), obtaining information from various staff as needed.
Keeps the calendar for the SLA Director, establishing priorities at own discretion.
Arranges for meetings, symposia, grant proposal calls, contacting participants, assembling correspondence, records, reports, and other material having a bearing on the subject for discussion.
Makes travel arrangements, develops travel itineraries, and schedules and books all reservations for all travel accommodations. Prepares and processes travel requests, authorizations, and vouchers for the senior staff in accordance with Smithsonian policies and procedures. Manages logistics related to conferences and events. Efforts not limited to scheduling meeting rooms, A/V, catering, security, lodging, etc.
Supports Director with development of PowerPoint presentations. Manages logistics related to presentation at conferences and events.
Composes correspondence, reports or statistical data from brief notes or verbal instructions, drawing on knowledge of the senior staff’s interest and priorities, office operations, and requirements to locate information.
Ensures that issues brought to the attention of the senior staff have been adequately researched, analyzed and alternatives identified and explored. Included in these reviews are grant applications, changes in policy or procedures, adverse actions, etc.
Establishes and maintains the digital files. Obtains other material when necessary from central files, library, or other offices or agencies as necessary.
Services related to calendar management
Services related to the management of the Office of the Director to include meeting agendas
Development of manuals, handbooks and standard operating procedures as related to the organization of the merged units.
Necessary Skills and Knowledge:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Minimum Qualifications:

High school diploma or equivalent.
At least 3 -5 years of related experience.
Proven experience in administrative support roles, preferably in a corporate or office environment.

Preferred Qualifications: (education, experience, skills)

Associate’s or Bachelor’s degree preferred.
Excellent communication skills, both verbal and written.
Strong organizational and time management abilities, with the ability to prioritize tasks and meet deadlines.
Attention to detail and accuracy in work.
Ability to maintain confidentiality and handle sensitive information with discretion.
Experience working in a fast-paced environment with the ability to adapt to changing priorities.

Job Type: Full-time

Pay: $60,000.00 – $80,000.00 per year
