Full Job Description

Job Summary

Key supporter of Harvard Chan Schools Mail and Receiving customer site locations. Requires traveling to multiple site locations to perform a variety of administrative and customer service functions essential to the successful operation of the Mail and Receiving department. Exercises judgment in selecting and applying established procedures correctly, and determines when to refer issues to the supervisor. Will work closely with the Manager of Campus Services, Supervisor and Mail Services Staff to ensure department success, through a commitment to the highest standards of customer service.

Position Description

Duties and responsibilities include, but are not limited to, the following:

Perform work processes for Mail and Receiving Services including but not limited to: Sorting and delivery of mail and packages, data entry, tracking of chargeback and billing information, follow up to Mail Services email and phone responses, student mail process, and recycling program.

Must be able to learn all facets of Mail Services’ operating systems and develop a basic understanding of all processes in use at Mail Services. Participate in mandatory cross-training, provide training in knowledgeable areas and provide support at alternate campus locations

Familiarity with loading dock procedures and ability to operate pallet jacks, carts, and hand trucks

Must have intermediate computer skills and a working knowledge of mail equipment, such as inkjet printers, scanners etc.

Will be responsible for working with student and customer information, where confidentiality must be maintained.

Keep informed of U.S. Postal and other carrier rates and regulations regarding mail piece design and shipping of mail and packages. Use computer systems for shipping and receiving in place at HMS including UPS online, FEDEX online, Packtrak, and WITTS Tracking.

Knowledge of all Mail and Receiving Services’ policies and procedures. Must possess customer service skills, be comfortable when dealing with the public and have a proactive approach.

Perform other duties as required.

PLEASE NOTE: This position has a term appointment of 6 months from date of hire with the possibility of extension.

PLEASE NOTE: May be required to work alternate schedules during Mail Services’ peak seasons. May be required to be certified through USPS Mail Piece Design program. Will be required to wear a HUMS provided uniform and PPD where necessary. Will be required to have annual trainings through Environmental Health and Safety and maintain certification.

Basic Qualifications

High School Graduate or equivalent education required

1+ years of relevant work experience is required

Previous work in Mail Services

Strong computer skills including experience with spreadsheet and word processing software packages (Windows, Microsoft Word and Excel, FileMaker Pro preferred); must be willing to supplement knowledge with training and development courses

Strong customer service skills; must be able to work as part of a team and be able to effectively interact with a wide variety of constituencies

Perform duties with a high degree of speed, accuracy and attention to detail

Approaches work in an organized manner
