Overview:
The Scanning Clerk primary tasks are to produce digital copies of documents for CSAC retention purposes in accord with business, compliance, security or other needs as dictated by CSAC programs, policy and procedures. Scanned documents must be of a quality disposition (in focus, legible, complete, etc.) otherwise they are of no use in fulfilling CSAC’s policies and procedures. Considering this primary responsibility, the clerk’s primary obligation and task is to ensure all document are scanned cleanly, in a secure and compliant manner. Depending on individual level, the clerk may also be responsible for organizing scanned documents on various local, network, and cloud storage devices. This is a full-time, non-exempt position with a work schedule of 7:00 A.M. to 3:30 P.M., reporting directly to the Scanning Lead.
Position Functions and Responsibilities:
Work with department leadership to determine a project and/or request’s scope, execution schedule
Resource/role allocation (when appropriate)
Perform functions of scanning all documents to meet the ‘clean’* standard (*defined as in focus, complete, high visual acuity with no self-evident obstacles to reading and reviewing the document)
Scan verify and uploading documents into databases or other repositories as directed
Scan files and organize them per CSAC programs, policies and procedures (Physical files and digital documents)
Scan, maintain and manage administrative files
Performing duties related to scanning, maintaining and retrieving of records
Receive, scan and index documents of importance and ensure timely feedback to all stakeholders
Ensured timely quality assurance (QA) review, to business analysts or other IT staff
Complete administrative tasks needed to maintain all Department projects on track
Help with projects assigned by and to the Department
Required Qualifications and Skills:
Minimum of one (1) year experience working in office or IT setting.
Able to take direction from management and execute that direction in a self-directed manner.
Highly organized and versed in various types of filing systems and methodologies.
Comfortable working with and continuously learning new skills related to computers, software, applications, and computing devices necessary to perform the essential elements of the job.
Ability to interact effectively with all levels of management, vendors, visitors, Trustees, consultants and others.
Ability to multi-task in a diverse work environment with several duties.
Ability to work under pressure and deliver professional results while meeting various deadlines.
Participates and interacts professionally during department meetings, company events, and/or trainings.
Supervisory Responsibility:
This position has no supervisory responsibilities.
Work Environment/ Physical Demands
While performing the duties of the job, the employee regularly works in an office setting.
While performing the duties of this job, the employee is regularly required to use hands and fingers to handle, feel or operate objects, tools or controls, and to reach with hands and arms. The employee is frequently required to stand, talk and hear.
Ability to lift 10-50 pounds when necessary.

Travel
Minimal to no travel. Occasional travel to business related events, offices and/or seminars may be required.
