Position Overview

Vadum is seeking a highly organized and proactive Office Administrator to support our dynamic research and development environment. This individual will be responsible for maintaining office operations, providing administrative support and coordinating corporate events. The ideal candidate will have strong Microsoft Office experience, exceptional communication skills, and the ability to work in a secure and fast-paced setting.

Key Responsibilities

Administrative & Front Desk Support

Greet visitors and provide general clerical support to staff.
Answer and direct phone calls professionally and efficiently.
Maintain and update the corporate calendar, ensuring key events, meetings, and deadlines are well-coordinated.
Ordering of office supplies and janitorial supplies.

Office & Facilities Management

Ensure the office environment is well-maintained and coordinate necessary repairs and services.
Work with external vendors to schedule routine and emergency maintenance for office equipment and facilities.
Assist with general office cleanliness and organization to ensure a professional work environment.

Mail & Package Handling

Prepare, receive, and distribute mail and packages, ensuring secure and timely deliveries.
Work with security personnel to ensure proper handling of sensitive and classified materials, following established protocols.

Security & Escorting Support

Escort visitors, vendors, and contractors as needed, adhering to security requirements.
Ensure compliance with company security policies when handling classified information and facility access.

Event & Catering Coordination

Assist in planning and scheduling corporate events, meetings, and company-wide activities.
Order and set up corporate lunches for internal meetings and special events.
Requirements:

Required Qualifications

High School Diploma or GED.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time-management skills with attention to detail.
Excellent written and verbal communication skills.
Ability to multitask and prioritize tasks in a fast-paced environment.
Professional and welcoming demeanor when interacting with visitors and staff.
Ability to handle sensitive information with discretion.
Ability to obtain and maintain a government security clearance.

Preferred Qualifications

Some college education preferred.
Experience in an office administration role, preferably in a military defense or R&D environment.
Familiarity with security protocols and classified material handling.
