About the role

This role exists because running a business well requires more than good instincts. It requires someone who can translate instincts into structure — and structure into results.

As Management Office Executive, you will work directly alongside the Director of a multi-division automotive group. Your job is to help the organisation see itself clearly — where it is performing, where it is leaking, and what needs to change — and then to help make that change happen in a measured, accountable way.

You will not be handed a neat brief every morning. Some days, the Director will share a half-formed thought and your job is to know what question to ask, what to research, and what to come back with. If you need complete instructions before you can move, this role is not for you.

What you will do

The role unfolds in two phases.

Phase 1 · First 90 days

Organisational diagnostic

You will conduct a structured, top-down review of how the business actually operates — across Sales, Service, Aftersales, Operations, Marketing, Logistics, and HR. Working closely with the Director and the Finance team, you will map roles, identify redundancies, surface process gaps, and produce a clear recommendation on structure: what works, what does not, and what needs to change. This includes direct input into decisions on contract staff ahead of renewal cycles.

Phase 2 · Ongoing

Performance management and Director support

Once the foundation is set, your role shifts into steady-state execution. You will own performance tracking across departments, monitor KPI progress, keep the Director briefed on market developments and compliance matters, manage follow-through on management decisions, and serve as the institutional memory of the business. When the Director is pulled in multiple directions, you hold the thread.

Day to day, you will

— Prepare morning briefs: market movements, competitor activity, relevant industry or regulatory updates

— Build and maintain performance dashboards for all departments

— Track action items from management meetings and follow up until closed

— Audit compliance with SOPs, principal guidelines, and inventory protocols

— Draft reports, proposals, and structured recommendations for the Director's review

— Coordinate with HR on role structures, headcount decisions, and Employment Act compliance

— Develop and maintain KPIs and daily trackers for department heads

— Build relationships with industry contacts, vendors, and relevant networks on the Director's behalf

What we are looking for

Experience

3–5 years in HR generalist, operations, process improvement, or change management roles. Experience in structured, fast-paced environments — MNCs, retail, BPO, logistics, banking — is strongly valued.

Education

Diploma or Degree in Business, HR, Operations Management, or equivalent. What matters more is how you think.

Technical

Proficient in Excel or Google Sheets. Comfortable building trackers and simple dashboards. Able to read data and turn it into a coherent narrative.

Languages

Strong command of English and Bahasa Malaysia. Mandarin is an advantage.
