Position Title: Administrative Assistant
Department: Health, Wellness, and Medical Studies
Reports to: Chair, Health, Wellness, and Medical Studies
Location: On campus (River Forest, IL)
Status: Part-time 30 hrs/week

POSITION SUMMARY:
The Health, Wellness, and Medical Studies department is composed of both the Bachelor of Medical Sciences (BMS) and Health and Wellness programs. The Administrative Assistant will provide administrative support to department administrators, faculty, and staff, ensuring the effective operation of department programs.

DUTIES AND RESPONSIBILITIES:
Manages all admissions to the BMS program through the PostBacCAS electronic database system, including:
Updating and managing the website
Reviewing applications and updating all data points, and sending reports to Admissions Operations
Sending out acceptance and denial emails
Reviewing transcripts, auditing for competencies, and communicating with the Registrar’s Office
Contacting newly accepted students to encourage deposits, contacting deposited students to encourage registration, scheduling advising appointments, communicating with new students, IT, Registrar, and Financial Aid
Serve as the primary contact person for prospective students; arrange tours and answer questions over email, telephone, or in person, and manage the BMS email address.
Serve as the primary point of contact for all current students, providing support through phone, email, and in-person meetings. Organize and facilitate the cohort orientation for new students and faculty assistants.
Perform clerical support, such as scheduling meetings, copying, handling correspondence, creating documents, typing exams, and answering/returning phone calls.
Maintain an email list of current BMS and HWE students. Send email communications to each program’s members.
Maintain internal web pages on SharePoint as well as the program’s bulletin board, BMS Facebook page for PostBacc housing opportunities.
Maintain statistics and official list on graduate school acceptances; organize and compile all letters of recommendation for former and current students, which can total 200+/year.
Organize and facilitate the Topics in Medicine course with 1-2 PostBacc faculty assistants under the supervision of the directors.
Serve as the Advisor for AMSA, MEDLIFE, and other student organizations on campus as needed.
Perform other duties as requested, delegated, or assigned by the directors.
KNOWLEDGE, SKILLS, and ABILITIES:
Demonstrated ability to work collaboratively with faculty, staff, and students in a University setting
Ability to effectively communicate orally and in writing
Proficiency in all Microsoft Office tools and willingness to learn and operate education software applications (e.g., Canvas, Adobe Acrobat, etc.)
Strong organization skills with the ability to multitask and prioritize work effectively
Ability to solve problems independently and effectively
Ability and willingness to take initiative on projects and tasks
REQUIRED QUALIFICATIONS:
Bachelor’s degree
Minimum 1 – 3 years of experience as an Administrative Assistant
Physical Demands:
Ability to spend long durations of the workday sitting at a desk and working on a computer
Ability to lift up to 15 pounds at times
Salary and FLSA Status
Salary: $24.00 hourly
FLSA Status: Non-Exempt, Part-time, 30hrs/week.
