Job Summary: We are seeking a detail-oriented and skilled Administrative Support Specialist to join our facilities management team. The ideal candidate will provide comprehensive administrative support, ensuring the smooth operation of daily activities and contributing to the overall success of the organization.
Key Responsibilities:
Serve as a primary point of contact for administrative inquiries, managing communication with internal teams, clients, and vendors.
Provide high-level administrative support, including managing schedules, coordinating meetings, and preparing agendas and meeting materials.
Assist with the preparation and maintenance of reports, presentations, and documentation related to facilities management operations.
Organize and maintain filing systems, ensuring that documents and records are accurate, up-to-date, and easily accessible.
Process invoices, purchase orders, and contracts, ensuring timely and accurate financial transactions.
Coordinate logistics for events, meetings, and training sessions, including travel arrangements and venue bookings as necessary.
Support the implementation of policies and procedures to enhance operational efficiency and compliance.
Assist in data entry and the management of databases related to facilities operations, maintenance schedules, and inventory.
Perform additional administrative duties as required to support the efficient functioning of the facilities management team.
Qualifications:
Bachelor’s degree in Business Administration, Office Management, or a related field preferred; equivalent experience may be considered.
Proven experience in an administrative support role, ideally within a facilities management or operations environment.
Strong organizational skills with a keen attention to detail and the ability to manage multiple priorities.
Excellent written and verbal communication skills, with the ability to interact professionally with various stakeholders.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with office management software.
Ability to work independently and collaboratively in a fast-paced environment.
Strong problem-solving skills and a proactive approach to tasks and challenges.
