Job Summary:

The Executive Assistant to the Superintendent provides high-level administrative support to the Superintendent and serves as a key liaison between the Superintendent, school district staff, Board of Education, Town employees, and community stakeholders. This role requires exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities:

Administrative Support

Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
Handle confidential and sensitive information with the highest level of discretion.
Screen calls, emails, and inquiries, responding on behalf of the Superintendent when appropriate.
Maintain organized and up-to-date records, files and databases.
Assist in planning and coordinating executive-level meetings, special projects and district events.
Update pertinent sections of the district website with relevant information.

Board of Education Support

Serve as a liaison between the Superintendent, Board of Education, and district leadership.
Prepare, distribute, and manage Board meeting agendas, minutes, resolutions and supporting documents.
Attend Board meetings, record minutes, and ensure compliance with legal and procedural requirements.
Maintain Board policies, bylaws, and official district records, assisting in research and analysis of policies, procedures, and governance-related matters.
Ensure timely posting of public notices, meeting schedules, and Board-related information, complying with Open Meetings laws, state statutes, and district policies.
Update Board of Education section on the district website, including meetings, minutes, policies and other relevant information.

Office Operations and Special Projects

Assist with special projects and reports as assigned by the Superintendent, providing research, data collection and analysis.
Attend weekly Cabinet meetings with Central Office Administration.
Serve as liaison and secretary to the Rocky Hill Education Foundation.
Process degree approvals, tuition reimbursements, and salary adjustments, maintaining accurate financial records and databases.
Manage office operations, including ordering supplies, materials, meals, and gifts, processing purchase orders and paying bills, performing bookkeeping tasks associated with the office.
Maintain working knowledge of general administrative operations in Central Office.
Complete required annual trainings and professional development as appropriate.

Qualifications & Skills:

High school diploma (Associate’s or Bachelor’s degree in business administration, public administration, or related field preferred).
Minimum of 5 years of experience in executive-level administrative support, preferably in an educational setting.
Familiarity with school district operations, policies, and procedures.
Strong knowledge of Board governance and procedures.
Exceptional organizational and time-management skills with strong attention to detail.
Excellent inter-personal, written, and verbal communication skills.
Ability to work independently, prioritize tasks, and handle confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Availability to attend evening meeting as required. Work Environment and Schedule: Full-time position with occasional evening meetings. Professional office setting within the district’s central administration.

Job Type: Full-time

Pay: $64,000.00 – $72,000.00 per year
