Operations & Information Systems Administrative Coordinator
(Global position – flexible to be based where Helen Keller can support employment)

Helen Keller International seeks an Operations & Information Systems (IS) Administrative

Coordinator to provide essential support to our business operations and IS functions. This

dynamic role combines hands-on operational support with essential administration and service

delivery. The coordinator will manage everything from global travel logistics and asset tracking

to software deployment and meeting support.

This position reports to the Manager of Operations and works closely with colleagues across

operations, IS, and other departments to ensure smooth delivery of operational and technical

support services.

Key Responsibilities

Administrative Support
Manages travel coordination and logistics:
o Maintains shared Travelers List and monitors bookings for compliance

o Prepare and submit monthly Corporate Traveler reconciliation reports
Supports procurement and vendor management:
o Processes procurement requests for Operations and IS departments

o Maintain communication with vendor r for machine leases and subscriptions
Provides financial administration:
o Prepare and reconcile monthly credit card reports

o Processes payment requests and tracks expenses

Asset & Systems Management
Coordinates global asset management:
o Updates the NetSuite Country Office Record asset figures

o Supports annual physical count confirmations

o Provides Asset Panda system support and troubleshooting

o Maintains asset inventory for Global Office
Manages IS assets and software:
o Tracks software license management and renewals

o Handles basic user provisioning and permissions

o Provides Verizon account support, including device management and
troubleshooting
o Provides first-level support for Zoom, Teams, and shared applications

o Maintain Skedda office workspace booking system

o Update OnSolve Emergency Contact profiles as needed

Knowledge Management & Training Support
Maintains system documentation:
o Updates KellerNet Operations & IS Hub content

o Facilitates the updating of departmental policies and procedures

o Maintains NetSuite Information Systems records

o Maintains Country Office Operations records
Coordinates training and professional development:
o Organizes training activities for IS and general staff

o Tracks training records and certifications

Special Project Support
Provide administrative assistance for special project coordination
Tracks project deliverables and timelines

New York Office Support (if NY-based)
Process DHL & FedEx mailings, particularly for IS equipment distribution
Sort and distributes incoming mail and package distribution, including check logging
Assist in meeting facility support, including:
o Audio/visual support for conference rooms

o Meeting space coordination

o Support for quarterly ELT and Board meetings
Assists staff with office resources (copier, postage machine)
Qualifications

Bachelor’s degree or equivalent experience in business administration, information
systems, or related field

2-3 years of administrative experience, preferably in a technical or operations
environment

Strong organizational and project management skills
Proficiency in Microsoft Office Suite and ability to learn new software applications quickly
Excellent attention to detail and ability to maintain accurate records
Strong written and verbal communication skills
Experience with asset management and procurement processes preferred
Ability to work independently and as part of a team
Experience with international organizations preferred

Compensation

The minimum salary range for this position is $61,660 with a midpoint of $74,000

and a maximum of $86,333. The position may be based in a Helen Keller office

outside of the US. This would be a local hire with the compensation based on the

local scale. Actual salary will vary based upon, but not limited to, relevant

experience, salary of internal peers, and functional specialty.
