At Catapult, we are helping our member, Raleigh Rheumatology Associates hire a Medical Administrative Assistant. This position is an onsite role and the successful candidates must be able to commute to the Raleigh, NC office daily for a 4.5-day work week with Fridays being a half day.

About the Job and the Responsibilities:

Do you love interacting and helping lots of people? Do you take ownership of your job and enjoy putting a smile on people’s faces? Then we need your help in a new rheumatology practice start-up! You will perform administrative duties in a medical setting. Duties may include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.

Answer telephones and direct calls to appropriate staff.

Schedule and confirm patient diagnostic appointments or medical consultations.

Operate office equipment, such as voice mail messaging systems, and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.

Maintain medical records, technical library, or correspondence files.

Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.

Compile and record medical charts, reports, or correspondence.

Receive and route messages or documents, such as laboratory results, to appropriate staff.

Transmit correspondence or medical records by mail, e-mail, or fax.

Perform various administrative functions, such as ordering and maintaining an inventory of supplies.

Interview patients to complete documents, case histories, or forms, such as intake or insurance forms.

Perform bookkeeping duties, such as credits or collections, preparing and sending financial statements or bills, and keeping financial records.

Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.

Complete insurance or other claim forms.

Education and Experience:

High school or GED graduation required.

Prefer at least a year of previous working experience as an Administrative Assistant or Receptionist.

Knowledge, Skills, and Abilities:

Strong communication, bedside manner, and interpersonal skills to provide excellent patient service.

Ability to multitask, prioritize tasks, and work efficiently in a fast-paced private practice.

Willingness to learn new skills and adapt to changes in healthcare practices.

Invested in the growth of the practice from the start and desire to show initiative in improving clinic workflow and patient care practices.

Strong ability to identify problems and review related information to develop and evaluate options and implement solutions.

Ability to manage one’s own time.

Ability to use and learn word processing and medical software

o Experience with MS Office important

o Prefer experience with medical software but not required
