Responsibilities
The Medical Administrative Assistant is a multifaceted professional responsible for the coordination and management of complex clinical, technical and administrative functions.
Key duties include:
- Coordinating complex appointments, ancillary testing, and procedures, and acting as a liaison with referring physicians.
- Managing multiple provider calendars to ensure optimal patient access and service delivery.
- Triaging a high volume of patient calls, electronic messages, faxes, and mail, and following up as necessary.
- Supporting daily operations of the patient care area by performing administrative functions and serving as a central source of information for staff, physicians, patients, and families.
- Keeping patient records and information current in the electronic health record.
- Creating and/or managing departmental web pages, databases, spreadsheets, agendas, minutes, reports, and presentations.
- Coordinating departmental or administrative meetings, event planning, travel arrangements and expense reimbursements for providers and guests.
- Assisting with physician recruitment, visiting professorships, and rotations from different Mayo locations.
- Purchasing and managing office inventory and supplies.
- Maintaining routine records and files efficiently and ensuring confidentiality.
Qualifications
Minimum requirements:
- High school diploma or equivalent with a minimum of two years’ administrative support experience, or one‑year degree/diploma in an administrative, business, or medical‑related program with at least one year of administrative support experience.
- Experience in meeting and calendar coordination, creating/transcribing correspondence, and using business software to produce databases, spreadsheets, and presentations.
- Strong organizational, customer service, professionalism, interpersonal, written and oral communication skills.
- Ability to prioritize tasks, shift quickly, and adapt to rapidly changing environments.
- Effective decision‑making, judgment, confidentiality, attention to detail, and follow‑through.
- Experience with travel and expense management.
- Proficiency in English grammar, punctuation, sentence structure, and computer hardware/software, telecommunication equipment, and multiple systems.
Additional requirements:
- Individuals without relevant medical education or experience must complete a Medical Terminology course within six months.
- Anatomy/Physiology may be required depending on role and background.
Compensation
Hourly range: $21.55 – $30.22. This position is not eligible for visa sponsorship.
Schedule
Full Time:
Monday – Friday, 8:00 a.m. – 5:00 p.m.
