Job Title: Office Manager

Position Type: Full-time; Hybrid Option (Must be able to travel between two offices–Fayetteville & Griffin)

CASE Support Services is a well-established counseling practice dedicated to providing exceptional mental health services to our clients. We prioritize a supportive and collaborative work environment and are seeking a dynamic and organized individual to join our team as an Office Manager.

Responsibilities:

As an Office Manager, you will play a crucial role in maintaining the smooth operation of our counseling practice. Your responsibilities will include:

Client Interaction:

– Answering the door and providing a welcoming atmosphere for clients.
– Handling client inquiries and making client calls for scheduling and follow-up.

Administrative Tasks:

– Managing client intake processes.
– Processing payments and maintaining accurate financial records.
– Checking insurance information and confirming co-pay details before sessions.
– Client debt collection when necessary.

Marketing and Social Media:

– Assisting in marketing efforts, including social media management.
– Supporting the development and implementation of marketing strategies to attract new clients.

General Office Duties:

– Maintaining cleanliness and organization in the office space.
– Keep restrooms, trash, and common areas cleaned.
– Assisting with various administrative tasks as needed.
– Oversee and manage all office operations and procedures
– Coordinate and schedule appointments, meetings, and events
– Maintain office supplies and equipment inventory
– Handle incoming and outgoing correspondence
– Manage office budgets and expenses
– Assist in the recruitment, onboarding, and training of new employees
– Develop and implement office policies and procedures
– Ensure compliance with company policies and regulations
– Coordinate travel arrangements for staff members
– Plan and organize company events

Qualifications:

– Previous experience in office administration or a related field is preferred.
– Strong organizational and multitasking skills.
– Excellent communication and interpersonal abilities.
– Proficient in handling client interactions with sensitivity and professionalism.
– Familiarity with basic financial processes and payment systems.
– Knowledge of insurance verification procedures.
– Competence in using social media platforms for business purposes.
– Ability to work independently and collaboratively within a team.

Job Type: Full-time

Pay: $17.86 – $21.51 per hour

Expected hours: No less than 30 per week
