What You Will Achieve
The Administrative Assistant will play a crucial role in supporting the VP and leadership team across Enterprise Services, and the VP of the T&PM (Transformation and Project Management) organization – 6 leaders in total. This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The successful candidate will be responsible for providing administrative support, managing calendars, coordinating meetings, and assisting with various projects and initiatives. The Administrative Assistant will serve as a key point of contact for internal and external stakeholders, demonstrating professionalism, discretion, and effective communication skills.
How You Will Achieve It
Calendar Management: Efficiently manage and prioritize multiple complex calendars for VPs, ensuring all appointments, meetings, and events are accurately scheduled and updated. Proactively identify and resolve scheduling conflicts and provide timely reminders and necessary materials for upcoming meetings.
Meeting Coordination: Coordinate and schedule meetings, including arranging conference rooms, video conferences, and catering services as required.
Travel Arrangements: Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa processing. Prepare and submit detailed itineraries and travel expense reports, ensuring compliance with company policies.
Document Management: Organize and maintain electronic files, ensuring confidentiality and easy retrieval of information. Prepare and edit correspondence, reports, presentations, and other documents as required. Proofread and review documents for accuracy and completeness.
Communication and Correspondence: Serve as a primary point of contact for internal and external stakeholders, demonstrating professionalism and excellent customer service. Manage incoming and outgoing communications, including phone calls and emails. Respond to inquiries and redirect them to the appropriate parties as needed.
Project Support: Provide administrative support for various projects and initiatives, including researching information, preparing presentations, and compiling data. Collaborate with cross-functional teams to ensure timely completion of project deliverables.
Ensure group/team administrative functions are effectively executed in a timely manner.
Qualifications
Must-Have
High School Diploma or GED
3 – 5 years of experience
Proven experience as an administrative assistant or similar role supporting senior executives and their teams
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills, with keen attention to detail.
Ability to handle sensitive and confidential information with discretion.
Strong interpersonal skills and the ability to work effectively with individuals at all levels of the organization.
Proactive and resourceful approach to problem-solving.
Ability to adapt to changing priorities and work in a fast-paced environment.
Nice-to-Have
Bachelor’s Degree
Certification in office administration or related field
Prior experience as an Administrative Assistant supporting executive leadership in a global organization
Knowledge of the pharmaceutical industry and healthcare environment

The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
