We are seeking an Administrative & Financial Specialist to join our CRESST Business Office team to assist with the Center’s financial activities consisting of federal, state, private contracts and grants, and sales and service activities. Including: accounting tasks, procurement of supplies, services and equipment according to University and funding agencies’ guidelines, maintaining inventories, assisting in monthly reconciliation of the general ledger for Center’s C&G and unrestricted accounts; processing of monthly interdepartmental recharges and non-payroll expense transfers. Order processing for CRESST requests, track transactions, follow up on status requests in BruinBuy Plus, verification of invoices, and tracking deliverables for the Center to efficiently and accurately meet payment processing deadlines. Coordinate with ED&IS Support Services Unit to submit Trouble Tickets and Facilities Service Requests (FSR) for building/facilities related requests. In coordination with the Center’s IT Manager, submit BruinVoice orders, maintain the Center’s floor plans and directories, and assist with managing the Center’s security system by coordinating and maintaining staff’s building access, including physical key and omnilock access and tracking. Provide copy/edit support to the Business Office and Center research projects. Coordinate meetings, training sessions, interviews, and other Center activities in a timely and efficient manner.

Salary & Compensation

Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications

Accounting 2-3 years of experience in accounting or certificate in accounting. (Required)
1. Demonstrated and successful experience in managing and coordinating the activities of a busy and productive executive office. (Required)
2. Knowledge of University & SE&IS policies and procedures to effectively serve as resource to students, faculty, staff and school departments. Including accounting, travel, purchasing, consultants, and sub awards. (Preferred)
3. Ability to identify, analyze, and resolve problems as they arise and keep supervisor apprised of problems. (Required)
4. Proficient and demonstrated working knowledge of computer software including Microsoft Suite, Outlook, Zoom, Slack, DocuSign, and Box. (Required)
5. Proof-reading and editing skills to ensure that all final documents issued by the Business Office are error free. Knowledge of APA format is a plus. (Required)
6. Demonstrated ability to write clear, concise and accurate memos and reports and edit correspondence for correct grammar, spelling and punctuation. (Required)
7. Skills in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various levels in the organization, and outside the University. (Required)
8. Demonstrated ability to work independently, take initiative and follow through on tasks with minimal direction or supervision. (Required)
9. Demonstrated ability to work as part of a team and assist other administrative support staff with clerical and administrative tasks as needed. (Required)
10. Demonstrated experience in acceptable accounting and business practices to provide guidance and direction in financial, contract and grant, and administrative issues. (Required)
11. Demonstrated skill in organizing and implementing complex functions involving on-campus and off-campus constituents. (Required)
12. Ability to establish and maintain cooperative and cordial working relationship with co-workers and the public. (Required)

Education, Licenses, Certifications & Personal Affiliations

Bachelor’s Degree or equivalent combination of education and experience. (Required)
