Summary of Position: The Receptionist is responsible for the efficient running of client care services through a range of administrative duties. This position ensures the smooth running of client appointments on a day-to-day basis, maintaining a pleasant work environment and providing general administrative support to Tender Gifts employees. The Receptionist is integral to cultivating company culture and works to evaluate and improve procedures to increase organizational effectiveness.

Essential Job Responsibilities:

· Welcome visitors in a professional manner, provide them with information, and direct them appropriately

· Schedule all client appointments

· Process client intake and add new client information into Client Care, Client Folder, Acuity, and RingCentral

· Input prospective clients

· Upload client insurance cards, ID, and records into EHR

· Answer incoming calls, transferring calls when necessary

· Respond to emails with 48 hours or next business day if email arrives over weekend, and forward to correct person as needed

· Help clients with complaints and questions, working to solve the issue yourself where appropriate, or connecting the client to the person who can help them

· Coordinate and schedule all appointments and meetings for clinical and non-clinical staff, for both homebirths and births at the center

· Collect payments for tea and supplements sold

· Communicate with the Sonographer about ultrasounds

· Assign midwife to schedule appointments

· Notify providers when clients arrive and check them in/out

· Provide birth kits and postpartum packets/bags at 36-week appointment

· Provide Welcome packets for all consults

· Fax medical records when requested Perform other administrative tasks, including maintaining file system, updating files, filing documents, drafting, and proofreading correspondence, and conducting research

· Maintain a healthy, empathetic, professional attitude towards clients and co-workers

Work Environment and Physical Demands:

· Sit for long periods of time

· Use of hands to handle, control, or feel objects, tools, or controls

· Frequent use of standard electronic equipment including computer and telephone

· Occasionally required to lift or move up to 10 lbs.

· Deal with a wide variety of people on various issues

Qualifications and Requirements:

· High school diploma or general education degree (GED) required, associate degree or higher preferred

· Prefered 2 + years of relevant experience in an office setting, preferably in an administrative or clerical role

· Excellent time management skills and ability to multi-task and prioritize work

· Excellent written and verbal communication skills

· Strong organizational and planning skills

· Computer skills and knowledge of office software packages, proficient in Office 365

· QuickBooks knowledge a must

· Team player, with the ability to establish and maintain healthy working relationships with co-workers

· Strong interpersonal skills; committed to providing outstanding customer service to internal and external stakeholders

Compensation: $17 to $20 an hour dependent on experience

Work Time:

· Typical office hours 10:30am to 7:30pm Monday, 8:30am to 5:30pm Tuesday-Thursday & every 1st Friday 11-6:30 is a meeting day at a differnt hourly rate.

· Additional hours may occasionally be necessary

Job Types: Part-time, Contract

Pay: $19.20 – $23.12 per hour
