Job Overview:
We are in search of a Full-Time Administrative Personal Assistant to become a part of our team. This role involves handling clerical and administrative duties to contribute to the company’s success. It is a permanent full-time position.

Responsibilities:

Schedule appointments and events.
Greet and assist visitors on-site.
Manage incoming phone calls and direct them to the appropriate individual or department.
Establish and upkeep organized filing systems.
Carry out various office tasks.
Manage calendars and appointment scheduling.
Assist in project coordination and follow up on tasks.
Handle incoming and outgoing mail and packages.
Monitor office supplies and reorder as necessary.
Deliver exceptional customer service to clients and visitors.
Execute additional assigned tasks.
Familiarity with Real Estate Processes and Terminology: Understanding of property listings, purchase agreements, escrow procedures, and other industry-specific terms and procedures.

Qualifications:

Prior work experience in real estate, property management, or related fields is advantageous but not always required.
Strong multitasking, communication, and organizational skills are essential.
Proficiency in Microsoft Office and travel arrangements.
Problem-solving skills and the ability to handle confidential information.
Knowledge of Canva and Photoshop is preferred.
Ability to adjust to changing priorities and handle unexpected challenges in a fast-paced environment.
Taking initiative to anticipate needs, solve problems, and streamline processes without constant supervision.
Capable of managing multiple tasks efficiently without sacrificing quality or attention to detail.

Administrative Support: Skilled in digital and physical file organization, appointment coordination, inspections, appraisals, and closings. Proficient in Microsoft Office, travel coordination, multitasking, and prioritization.

Transaction Coordination: Manage buyer and seller transactions, schedule walk-throughs and closings, coordinate inspections and repairs, and input client data into the database system.

Marketing:

Assist in developing and maintaining contact database.
Prepare buyer and seller consultation packages.
Coordinate the creation of listing, open house flyers, graphics, and other marketing materials.
Monitor and manage inbound leads from websites and social media.
Organize email marketing campaigns and utilize CRM.
Regularly update the website.
