Position Purpose:
This position performs administrative assistant and reception duties for the Athletic Department and Health and Human Performance (HHP) Academic Department, and supports overall student retention under the supervision of the Athletic Leadership Team and HHP Department Chair. This is a full-time position with full benefits package.
Responsibilities:
Provides general administrative assistant duties for the Main Athletic Office as well as the HHP Office to include, but not limited to, typing, filing, reception, office supply purchases, 25live navigation, and P-Card allocation.
Schedules and maintains appointment calendars for the Director of Athletics, Associate Director of Athletics and HHP Chair.
Assists in scheduling department and university events, the annual Athletic Hall of Fame Banquet and the Senior Student-Athlete Send-Off administered by the Athletic Department and makes travel arrangements as requested.
Completes reports and forms as necessary.
Attends Athletic and HHP Department meetings and provides assistance with administrative support functions as requested.
Assists with administering, developing and distributing marketing information for the Athletic and HHP Departments and for special functions related to Athletics (Bulldog Golf Classic, Booster Club, Athletic Hall of Fame, etc.)
Assists with regular monitoring, communications and mailings in the Athletic department, including mailing related to scholarships.
Completes timely transfer/tracer documents for incoming and outgoing student-athletes.
Supervises the Main Athletic Office student employee(s); completes student employment contracts(s), approves time card(s), and oversees student web-time entry in Banner if needed.
Monitors and maintains HHP Department syllabi, assessment records, catalogs changes, accreditation records, records of graduates and other related items.
Works alongside the Athletic Transportation Coordinator regarding Athletic Department fleet vehicles, trailers and Athletic Department Charter bus reservations/requisitions.
Collaborates for regular fleet van maintenance and periodic repairs, provides records of maintenance, and ensures that all safety, insurance and certification requirements are met with respect to individuals who drive vans.
Responsible for the logistics and proactive communication regarding vehicle key transfer and ball hitches for trailers.
Oversees and maintains the Inter-Departmental Transfer spreadsheet for billing procedures outlined by Business Office personnel. Reconcile fuel receipts with the IDT spreadsheet for fleet vehicle usage.
Other duties as assigned.
Qualifications:
High School Diploma
Previous secretarial/office experience
Proficiency in the use of software applications including Microsoft applications, databases, spreadsheets, and word processing required.
