Description of Work

Position is open to both internal and external applicants.

This position provides office and administrative support to two Directors of Community Supervision: Director of Field Services and Director of Program Services. This position facilitates the workflow on behalf of the Directors, the Community Supervision management team, and Field Operations.

The incumbent must display a high level of professionalism as it pertains to contact with departmental and Community Supervision section staff, legislators, governmental officials, community stakeholders, and the general public. This position includes responsibilities that allow access to confidential, proprietary, and personal information regarding employees, former employees, applicants for employment, offenders and offenders’ families. Such confidential information may be communicated or made available in a variety of formats, and may include medical/health, financial, employment, contractual, or institutional data. Incumbent must be able to determine those matters which are confidential as opposed to public information and demonstrate good judgment in releasing information upon request.

Position
coordinates travel plans, workflow between the Director and his/her administrative staff,
screens telephone calls and visitors and determines an appropriate course of action
functions as a liaison between the Directors and sections within the Department as well as other state agencies
serves as administrative support backup to the Deputy Secretary of Community Supervision and in the absence of the Deputy Secretary of Community Supervision Executive Assistant on an as-needed basis
maintains a monthly calendar for the Deputy Directors, schedules appointments and conferences via telephone with Representatives, Senators, and other judicial officials
composes responses to inquiries and communications on the Directors’ behalf.

The incumbent must have general knowledge of Community Supervision policies and procedures and of other state agencies and their functions when referring callers to the appropriate agency.

This position responds to and takes appropriate action regarding letters, phone calls, and e-mails from a variety of stakeholders to include but not limited to offenders, inmates, victims’ family members, and concerned citizens.

This position shall maintain various databases to include but not limited to tracking complaints, personnel approvals, motor fleet complaints, and requests for awards from the Governor’s Office. Position shall prepare expense reports for the Directors and will review for accuracy employees’ expense reports that require the Director’s signature, and keep a current inventory of all equipment located in the Directors’ suite.

This position shall maintain administrative records, files, and statistics both electronically and in hard copy formats and maintain and update public documents to include but not limited to the Community Supervision field operations roster and agency map, and communicate these changes to MIS and other stakeholders.

This position independently composes, edits, and proofs correspondence for the Directors’ signature and approval.

Position will collaborate on projects with and provide back-up to the Executive Assistant supporting the Director of Field Services and the Director of Program Services.

About the NC Dept. of Adult Correction (DAC):
The Dept. of Adult Correction is responsible for the care, custody, and supervision of all adults sentenced after conviction for violating North Carolina laws. This department includes State Prisons with custody, healthcare, and facility operations staff as well as the division of Community Supervision. Other divisions include Administration, Compliance & Accreditation, Comprehensive Health Services, Internal Affairs & Intelligence Operations, Post-Release Supervision & Parole Commission, and Rehabilitation & Reentry.

This is a full-time position (40 hours per week) with benefits.

The salary grade for this position is NC11. State employees are encouraged to apply for positions of interest even if the salary grade is the same as or lower than their current position. If selected for this position, a new salary will be calculated taking into consideration the quantity of relevant education and experience, funding availability and internal equity. Based on these factors, a pay increase or decrease may result.

Knowledge, Skills and Abilities / Competencies

To qualify for this position, applicants must document on the application that they possess ALL of the following:

Applicants must have at least one year of documented experience supporting executive-level staff, and:

Documented experience maintaining confidentiality.
Documented experience explaining and interpret program information to others.
Demonstrated experience presenting ideas clearly and effectively in written and verbal form; experience editing or proofreading for correct grammar and syntax, adjusting language or terminology to meet needs of the audience or as appropriate; proven ability to use correct grammar, organization, and structure.
Experience identifying and understanding issues, problems, and opportunities; determining appropriate response, course of action, or appropriate solutions. •
Proven experience with implementation and follow-up
Documented experience compiling, organizing, and analyzing printed and electronic information; experience providing direction to staff
Management prefers:
Knowledge of and ability to interpret and apply standard personnel policies, procedures, regulations and laws to a variety of transactions.
Attention to detail in order to create reports and respond to inquiries.
Ability to express oneself clearly and concisely in oral and written form.
Experience working independently.
General knowledge of agency and Community Supervision programs.
Computer skills to include Microsoft Office suite of applications and ability to learn other software programs as needed.
Experience with P-Card transactions and purchasing in a business environment.
Experience arranging travel logistics in a business environment.
Experience with departmental web applications such as OPUS, CJLEADS
Experience working in NC state government

Minimum Education and Experience Requirements

Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution; or
Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or
High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or
an equivalent combination of education and experience.
