The successful candidate will serve as a Receptionist reporting to the Office of the CTO. Under supervision, performs clerical and related work with limited latitude for independent judgment.

Responsibilities may include but not limited to:

Coordinate the daily activities of the Reception Area, including:
o Receive and disseminating all incoming calls, faxes, and mail
o Greet in-person visitors for scheduled appointments
o Forward inquiries from the general public to the appropriate person.
o Retrieve voicemail messages from the general office mailbox.

Develop and maintain positive working relationships with internal and external staff;
Schedule, plan, and coordinate meetings;
Prepare meeting materials and managing the booking of meeting rooms and associated items as needed;
Open and date stamp all general correspondence and deliver office mail to appropriate personnel;
Regularly maintain and update contact lists, organizational charts, and email distribution lists;
Perform other administrative duties such as filing, drafting letters, copying, faxing, etc.;
Assist executive and senior staff with day-to-day activities, which includes compiling prep materials for meetings, coordinating logistics and other events;
Perform other appropriate duties and participate in other duties as assigned.

Minimum Qualifications

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.

Preferred Skills

The successful candidate should possess the following skills: – Experience in New York City government – Strong knowledge of Microsoft Office suite – Proven track-record of 3-5 years professional work experience performing outstanding customer-service – Proven work experience with high-quality administrative support to senior-level executives – Excellent written and verbal communication skills – Excellent organizational skills with an ability to think proactively and prioritize work – Experience exercising discretion and confidentiality with sensitive information.
