We are seeking a motivated, qualified individual to join our company as an Executive Assistant who will play a crucial role in ensuring the smooth operation of our leadership team by managing schedules, coordinating meetings, handling communications, and assisting with various administrative tasks. This position requires exceptional organizational skills, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment. All work will be performed in accordance with Company policies and procedures.

This is a 1099 contract position working on a multi-year project.

Responsibilities & Duties

Maintain and coordinate the calendars of project managers and directors, scheduling meetings, appointments, and travel arrangements
Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items
Arrange travel itineraries, accommodations, and logistics for project managers and directors, ensuring seamless travel experiences
Serve as the primary point of contact for internal and external communications, handling emails, phone calls, and correspondence
Provide comprehensive administrative support, including document preparation, report generation, data entry, and file management
Assist with special projects and initiatives as needed, conducting research, compiling data, and preparing reports
Partner and follow up with internal departments and team members to ensure timely and accurate fulfillment of assigned tasks or requests
Ensure the smooth operation of the office, including managing supplies, equipment, and office space
Handle sensitive information with the highest level of confidentiality and discretion
Additional duties as delegated by manager

Requirements

High School Diploma or general education degree (GED)
Bachelor’s degree in Business Administration, Management, or a related field preferred
Minimum of five (5) years of experience as an executive assistant, preferably within the disaster response or a related industry
Microsoft Office proficiency: Word, PowerPoint, Outlook, and Excel

Ability to communicate effectively with internal and external customers
Strong time management, organizational, and attention to details skills

Ability to prioritize tasks and meet scheduled deadlines
Ability to read, write, and comprehend associated documents
Ability to understand and follow oral and written instructions
Ability to follow all company policies and procedures
Willingness to work outside of regular work schedule when necessary

Pay: $37.00 – $45.00 per hour

Weekends as needed
