Job Responsibilities/Duties
The Administrative Assistant for the Mission Integration Analysis and Flowsheet Integration organizations performs diverse and complex clerical and administrative support activities. This position operates in the background and blends communication, organizational, and technical skill sets to ensure optimal day-to-day office operations and smooth and consistent product delivery. This position will exercise independent judgment and creativity within generally defined practices and policies to select methods and techniques that define the groups’ underlying operating structure. A successful candidate will thrive in an environment where they can work independently, completing tasks with minimal supervision.

The Administrative Assistant’s responsibilities should include but are not limited to the following:

Organizational Activities:

Provides continuous effort to improve office operations and streamline work processes and works cooperatively and jointly with all levels of management and staff to provide quality customer service.
Organizes, maintains, and updates the organization’s Microsoft Teams areas, file share areas, and SharePoint areas.
Acts as point-of-contact for conference room scheduling.
Maintains calendars, schedules meetings, and coordinates the department or manager’s interfaces with other personnel, company organizations, clients and external groups.

Administrative Activities:

Provides leadership and serves as a resident expert regarding clerical and administrative support processes and controls.
Plans, initiates, and coordinates activities between department(s) and outside representatives for the purposes of improving workflow, ordering supplies, or providing a specific service or information.
Prioritizes conflicting needs; handles matters expeditiously, manages multiple tasks and responsibilities with competing deadlines.
Uses initiative and judgment during manager’s absence to see that matters requiring attention are referred to delegated authority or handled in a timely manner to minimize the effect of the manager’s absence.
Exercises advanced knowledge and application of departmental and company policies, and procedures and the ability to exercise a wide latitude of personal judgment while maintaining sensitivity of confidential business or personal information.
Supports managers with tracking completion of employee requirements such as Employee Job Task Analysis (EJTA) forms, timesheets, required training, etc;

Procurement Activities:

Orders and maintains supplies for department or project.
Coordinates office moves, hardware orders, and key requests for the Facilities organization.
Prepares travel and training requests; makes and confirms travel and other arrangements for conferences and business trips; compiles expense reports and requests reimbursement for expenditures as appropriate.

Other potential activities: Processes transmittals; issues documents, memos, and delegations; Finalizes and distributes periodic (weekly, monthly, quarterly) operating reports for the organizations

Required Qualifications
Grade 06:
High School Diploma or equivalent with eight (8) years related experience or a combination of education and experience.

Grade 07:
High School Diploma or equivalent with ten (10) years related experience or a combination of education and experience.

Compensation & Benefits
Grade 06:
Hiring Range Minimum: $52,150
Hiring Range Maximum: $65,750

Grade 07:
Hiring Range Minimum: $57,450
Hiring Range Maximum: $72,450

In accordance with the company’s philosophy on compensation for exempt and salaried non-exempt employees, WRPS takes into consideration a variety of factors when determining initial salary to include assigned job scope and responsibility, a candidate’s qualifications as compared to internal comparators performing in a similar role, and the external labor market. A salary offer will be made within the targeted hiring range posted. Note a candidate’s prior salary history will not be taken into consideration.
