Job Overview
As an Office Administrator at Shine ABA Solutions, you will play a critical role in supporting the daily operations of our Applied Behavior Analysis (ABA) services. This position is essential for ensuring the seamless functioning of our office environment and the accuracy and organization of session notes and records. You will work closely with our clinical and administrative teams to maintain the quality and compliance standards that are integral to our mission of providing effective, evidence-based services to our clients.

Key Responsibilities:

Session Note Review and Management: Ensure that session notes are completed accurately and in a timely manner by therapists. Review session notes for completeness, accuracy, and compliance with HIPAA and other relevant standards before final submission.
Data Entry and Record-Keeping: Accurately maintain client records and session documentation in the agency’s database, ensuring confidentiality and adherence to organizational protocols.
Scheduling Support: Assist in scheduling client sessions, coordinating availability between clients and therapists, and handling rescheduling as needed.
Administrative Assistance: Provide general administrative support, including answering calls, managing emails, and handling inquiries related to office operations or client services.
Coordination with Case Managers: Communicate with case managers to ensure alignment on client schedules, documentation requirements, and any necessary follow-up.
Compliance and Quality Assurance: Assist with audits and reviews of documentation to ensure compliance with insurance, Medicaid, and agency standards.

Requirements:

Strong organizational and time-management skills
Attention to detail, especially in documentation and data entry
Excellent communication skills for client and team interactions
Familiarity with HIPAA and confidentiality standards
Experience in healthcare or ABA settings is preferred

Job Types: Full-time, Part-time

Pay: From $25.00 per hour

Schedule:

4 hour shift
8 hour shift
Day shift
Monday to Friday
