Position: Membership Coordinator (Bilingual (Portuguese – English Required)
The Membership Coordinator is responsible for organizing and maintaining all memberships managed by NDM Hospitality:
Reunion West Club, Rolling Oaks Club, Spectrum Club, Reunion Village, Sunset Walk Club, and any future Clubs.
Duties include, but are not limited to: sending club agreements; processing member setups and payments; issuing and delivering member cards; scanning and filing documents; communicating with members via phone and email; and participating in member events and gatherings.
The Membership Coordinator is expected to develop and maintain good relationships with owners and other members, while assisting with any questions they may have.
ESSENTIAL RESPONSIBILITIES
Explain the membership rules and access to owners, members, property managers, realtors, potential buyers, and anyone else who reaches out to the membership office for assistance.
Assist members with completing and updating club documents and forms.
Build and maintain positive relationships with members to understand and support their needs, concerns, and questions regarding the membership program.
Process club membership cards.
Travel to club locations as needed to deliver member cards, attend meetings, or provide on-site assistance.
Set up, maintain, and update owner profiles in the Club Management System.
Process membership payments as needed: monthly dues, capital joining fee, amenity fees, card replacement fee, long-term lease processing fee, and any other fees.
Communicate with realtors and title companies to coordinate resale and leasing processes. Process estoppels for resales.
Write meeting minutes for the monthly RWC Advisory Board Meeting.
Organize and participate in member events, as needed.
Set up surveys, send them to members, gather responses, and present to the team.
Assist with creating member communications such as newsletters, updates, or notices as needed.
Support member engagement and club usage by providing excellent service and promoting the value of club access and benefits.
Create, update, and maintain department policies and SOPs as needed.
REQUIREMENTS
High School Degree or equivalent.
Fluency in Portuguese (spoken and written) is required.
Proficiency in Microsoft Office Suite, with at least basic Excel skills.
Time management skills, strong organizational skills, and ability to prioritize work to meet deadlines.
Solid data entry skills.
Ability to maximize efforts towards productivity, identify problem areas, and assist in implementing solutions.
Effective communication skills, both verbally and in writing, with owners, members, team members, and partners, using an attentive, professional, and service-oriented tone.
Ability to handle members’ issues effectively.
Maintain confidentiality of information.
Comfortable working in a fast-paced environment with shifting priorities.
Maintain regular attendance as required by scheduling, which may vary according to the company’s needs.
Maintain high standards of personal appearance and grooming, including wearing a nametag.
Flexible hours, may include working weekends, holidays, and exceeding 40 hours per week.
Ability to lift up to 25 lbs.
Ability to walk long distances is required.
PREFERRED QUALIFICATIONS
1-year hospitality experience, preferably in a resort or club setting.
