Position Overview:

WEI is seeking a highly motivated and organized Executive Coordinator to provide comprehensive administrative and operational support to the CEO and leadership team at WEI.

The Executive Coordinator plays a crucial role in ensuring the successful execution of organizational operations and administration, organizational initiatives, and internal and external relationships and partnership engagement. This position supports WEI operations and administration by managing operational and administrative logistics, tracking organization deliverables and contract responsibilities, providing administrative and operations oversight while ensuring smooth communication across leadership (e.g., CEO and project directors) and teams, and supporting WEI’s mission to advance well-being and equity.

The ideal candidate is a proactive problem-solver, highly organized and experienced, excels in a fast-paced environment, and can anticipate needs, resolve issues efficiently, and has experiencing supporting organization level short-term and long-term goals.

Key Responsibilities:

WEI Operational & Administrative Responsibilities

· Track and manage organizational deliverables and contract responsibilities.

· Oversee internal and external documentation and record keeping.

· Provide logistical support for meetings, convenings, and events.

· Maintain organizational calendars, scheduling key meetings and deadlines.

· Monitor progress on organizational initiatives, flagging any delays or risks.

· Coordinate across teams to ensure alignment with strategic priorities.

· Monitor and maintain efficient project management systems to track key activities.

· Assist with budgeting and financial tracking related to executive operations and organizational needs.

· Coordinate hiring, onboarding, and offboarding processes, including scheduling interviews, maintaining recruitment documentation, and on/off boarding logistics.

· Support IT, office management, and vendor relationships to ensure operational efficiency.

Communication & Coordination

· Facilitate communication between leadership, staff, and external partners.

· Draft and edit key documents, emails, and reports for internal and external use.

· Ensure timely follow-ups on key action items across projects.

Organizational Growth & Strategic Support

· Support leadership in setting and tracking long-term organizational goals.

· Identify opportunities to improve administrative and operational processes.

· Help align day-to-day activities with WEI’s mission of well-being and equity.

Collaborate with project teams to provide administrative support on research, technical assistance, and dissemination efforts.
Assist in pre and post-award grant and funding proposal submissions (e.g., budgets, form submissions, and other documentation requirements), ensuring deadlines are met and materials are accurately prepared.

Communication & Stakeholder Engagement

Serve as a liaison between leadership and external partners, funders, and board members, ensuring timely and effective communication.
Prepare materials, coordinate logistics, and manage follow-ups with WEI board members, advisory councils, and staff.
Support public relations efforts, including coordinating media inquiries and scheduling speaking engagements for leadership.

Executive & Administrative Support

Manage the CEO’s calendar, schedule meetings, and coordinate travel logistics, ensuring minimal disruptions to priorities.
Coordinate internal and external meetings, including agenda development, note-taking, and follow-up on action items.
Prepare, review, and organize correspondence, reports, and presentations for internal and external stakeholders.
Maintain confidential records, contracts, and organizational documents to ensure compliance and easy retrieval.

Qualifications
Required:

Minimum of 5 years of experience in government or nonprofit operations and administration.
Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
Excellent written and verbal communication skills, with an ability to engage diverse stakeholders.
Current driver’s license and reliable transportation.
Proficiency in Microsoft Office Suite, project management tools (e.g., Basecamp, Monday.com) and other online storage systems (e.g., Box.com).
Commitment to WEI’s mission and values.

Preferred:

Bachelor’s degree in business administration, nonprofit management, social sciences, or related field (equivalent experience considered).
Five years experience working in nonprofit as an executive assistant or executive coordinator.
Familiarity with fundraising, grants management, and financial reporting processes.
Event planning and coordination experience.
Experience handling confidential and sensitive information with discretion.
Preference may be offered to candidates residing in the Denver/Ft. Collins CO area.
