Job Description
The primary function of the intake coordinator is to be responsible for taking client calls and referrals and assigning them to the appropriate clinician. They will also provide administrative support to the owner, Practice Manager, as well as the independent contractors in support of daily operations.
Role and Responsibilities include but are not limited to:
office administration
greet new intakes warmly and train them in check-in process
answering and tracking incoming phone calls, voicemails, and emails
providing detailed information to prospective clients regarding services offered at the practice;
Assist clients with intake paperwork and answer any questions regarding the intake process.
triaging clients and connecting the client with the appropriate clinician
new client scheduling
new client entry into the EHR
obtain copy of Driver’s licenses, Insurance cards, and necessary documentation for billing department
manage incoming referrals and schedule accordingly
Act as the primary point-of-contact for referring providers. Communicate the status of their referrals throughout the referral process.
verify benefits and co pay confirmations, enter into EHR.
verifying registration paperwork for all intakes to the practice.
effectively collaborate with team members to improve intake process
take initiative to problem solve and overcome challenges.
Collaborates with team members on continued growth and development that aligns with Multicultural Committee mission.
Essential Job Qualifications (Educationand Training Requirements)
Patient, pleasant, and understanding, with the ability to remain calm and diffuse tense situations. Handle sensitive and highly personal information daily, maintain confidentiality in a mature and non-judgmental manner.
Proficient computer skills and experience using Microsoft Office (Word, Excel, PowerPoint)
Strong customer service and interpersonalcommunicationskills
Previous front desk, reception/receptionist, administrative assistant, or office experience preferred
An interest in psychology, counseling, the behavioral sciences, social work, or healthcare is strongly preferred
Ability to demonstrate patience, humor, andflexibilityin your interactions with staff and clients
Compassionate understanding toward individuals struggling with mental health concerns
Working knowledge of EMR/EHR’s
1-2 years of experience in a health care related field, understanding insurance benefits and verification
