We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative support to our executive leadership. The ideal candidate will thrive in a fast-paced environment and maintain a high level of confidentiality. The successful candidate will play a key role in ensuring smooth day-to-day operations at the executive level and be a vital liaison across departments, clients, and vendors.

For the past 47 years, Heritage Auctions has been the largest auction house founded in the U.S. and serves more than 50 different auction categories, including Coins, Sports, Comics, Historical, Jewelry, Fine & Decorative Art, Wine, and many more.
SUMMARY: This role will perform various executive and legal administrative duties. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

LOCATION: Conveniently located south of Dallas/Fort Worth International Airport, at the NW corner of W. Airport Freeway (Hwy. 183) and Valley View Lane.
COMPENSATION: Commensurate with experience
ESSENTIAL DUTIES AND RESPONSIBILITIES
Overseeing multiple projects concurrently and communicating important issues to our Executive members.
Handling numerous confidential matters, both professional and personal, with discretion and diplomacy.
Coordinating travel arrangements.
Maintaining an appointment schedule by planning and scheduling meetings and travel.
Interacting with high-level clients and vendors as needed.
Handle expense reporting, invoice processing, and budget tracking related to executive activities
Serve as the first point of contact on behalf of the executive office for internal staff, clients, consignors, and stakeholders
Coordinate logistics for board meetings, leadership summits, VIP client events, and auction support
Support client relations by helping maintain CRM systems, tracking client activity, and preparing materials for meetings
Other duties may be assigned.
Requirements:
EXPERIENCE:
7+ years administrative assistant experience; 4+ years of providing administrative support to C-level executives
Demonstrated problem-solving skills and independent decision-making in a high-pressure environment
Must have strong calendar management experience
Strong knowledge of reservation platforms
Ability to uphold a strict level of confidentiality
Extensive knowledge of Word, Excel, and Outlook
Ability to accurately type 70+ wpm.
Outstanding communication skills, both verbal and written
Extremely adept at interfacing with senior management and customers
Highly polished with impeccable interpersonal skills
Strong project management skills to take on various projects.
Prior employment experience must demonstrate job stability
