The Nursing Services Assistant provides a wide range of administrative support to the Chief Nurse Executive (CNE) and other nursing administration staff in the achievement of the Nursing Department’s strategic plan and objectives. This position oversees day-to-day office operations and is responsible for all clerical, administrative, and business functions. Answers and screens telephone calls, arranges conference calls, coordinates the CNE’s schedule, meetings, and travel.
Additionally, this position is responsible for ordering medical/nursing supplies/equipment and monitoring the units for adequate supplies/equipment. Manages incoming mail and distributes correspondence. Coordinates nurses’ schedules in absence of the staffing coordinator. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
Essential Job Functions:
Performs a diversified range of administrative support activities for the CNE and other nursing administration/management staff.
Performs meeting coordination, monitoring of budget contracts, executive calendar maintenance, and project assistance.
Prepares correspondence, memorandums, and monthly reports.
Attends meetings and prepares meeting notes. Provides data entry and develops and formats presentation materials.
Coordinates executive schedules and activities; evaluates executive priorities and manages schedule conflicts. Schedules conference and classrooms for meetings and activities. Coordinates meetings and special events. Assists in handling annual and introductory performance evaluations, and maintenance of the department’s training/education delinquency list.
Monitors inventory of office supplies, unit medical supplies/equipment, and orders stock items on a regular basis and special orders as necessary. Monitors and ensures office/medical supplies/equipment are repaired or purchased.
Assists nurse managers in ensuring medical supplies/equipment are available on the units.
Works with vendors to handle equipment defects and warranty issues, maintains relationships and vendor contact information.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:

Knowledge of ICF/IDD rules and regulations, Medicare/Medicaid policies.
Knowledge of medical insurance and medical billing procedures.

Skilled in the use of electronic data and/or word processing equipment and software, to include Microsoft Office products (Outlook, Word, Excel, and PowerPoint).
Skilled in written communications.
Skilled in proofreading, editing, and formatting.
Skilled in verbal communications.
Ability to multitask, take initiative, and work effectively within an interdisciplinary team.
Ability to organize/prioritize work and to complete basic duties with minimal supervision.
Ability to prioritize work and manage multiple deadlines.
Ability to motivate all levels of staff and facilitate change.
Ability to work independently and ability to work with all levels of staff. Ability to work in the midst of interruptions.
