Job Title: Office Assistant/Admin
Pay Rate: $22 to $25/Hr.
Duration: 7 Months (Possibility of further extension or conversion based on performance)
Location: Buffalo Grove, IL (Hybrid – 2-3 Days in office per Week)
Shift – 8 AM to 4 PM Central time
Note: This is a Hybrid position requiring 2-3 in-office days per week at the Buffalo Grove location, with occasional travel to the Chicago office (approximately twice per month).
We are looking for an Office Assistant/Admin to provide operational support for our R&D teams. This role requires strong communication skills and the ability to manage complex processes related to daily operations, procurement, event/meeting coordination, and communications.
Employee Onboarding/Offboarding: Facilitate smooth transitions by managing tasks such as I-9 verification, IT account setup, building access, PKIs, and other onboarding/offboarding activities.
Daily Operations Support: Assist employees with shipping/handling, travel arrangements, passport renewals, AMEX interface, office supplies, device management, expense reports, and timesheets.
Procurement Support: Open purchase orders, liaise with procurement teams, and troubleshoot vendor-related issues.
Expense Monitoring: Track costs, monitor expenses, and follow up on and drive open issues to closure.
Vendor and Resource Management: Support vendor relationships, license renewals, and new acquisitions, part stocking, timesheets, and cost tracking.
Event and Meeting Coordination: Organize meetings and special events for the Buffalo Grove and Chicago offices.
R&D Communications: Manage mailing lists and ensure the team is informed of internal and external updates relevant to R&D.
Requirements:
Bachelor’s or Associate’s Degree.
Minimum of 3 years of administrative experience in a corporate setting.
Excellent communication and collaboration skills, with experience interacting at all levels of management, employees, and external partners.
Advanced proficiency in Microsoft Office applications.
Ability to handle sensitive and confidential information.
Strong problem-solving skills with the ability to research and implement solutions.
Proven ability to prioritize tasks, manage deadlines, and multitask effectively.
Experience working with tools and third-party support locally and globally.
Job Type: Contract
Pay: $22.00 – $25.00 per hour
Expected hours: 40 per week
