Job Description
The ultimate goal of the Guest Coordinator is to provide extraordinary hospitality and guest experience to every guest on the phone and in-person. Responsibilities include, but are not limited to: answering the phone with enthusiasm and with a smile, appropriately resolving a guests’ expressed and unexpressed needs, providing excellence to guests at check-out and scheduling, and cross-training for all Front Office duties. The Guest Coordinator will demonstrate excellent attention to detail, build positive relationships with guests, and deliver a WOW experience to guests.
Essential Duties & Responsibilities
Answer the phones within two rings and with a smile, create telephone encounters, transfer calls to the applicable party
Rotate as a back-up for guest check-out. Create accurate claims and collect appropriate monies at time of service.
Share responsibility for phone guest check-out. Ensure payment is processed with correct credit card. Mail invoice and lab orders, if applicable.
Schedule and modify appointments
Transfer calls to appropriate departments.
Make confirmation calls one week in advance for providers
Keep up to speed with scanning and administrative documents
Update addresses in EMR, as needed
Perform medical record requests with required documentation
Share responsibility for accounts receivable outbound calls and collection
Build relationships with guests by providing a WOW experience
Continually looks for ways to surprise and delight guests
Update tracking for metrics
