Reports to: Director, Fulfillment Services

Purpose

The Administrative Assistant, provides front-desk and general administrative and operational support, and serves associates as a knowledgeable employee facing support role. This position supports and routes external callers and visitors, provides operational support as needed to the Director, frequently serving as a first line of response to administrative issues, and at times supports general areas of operations. Manages incoming calls, incoming and outgoing mail and carrier parcels. This position may at times provide administrative and operational support to senior management if needed.

Responsibilities

Greets and directs visitors, and answers inbound calls as needed.
Provides administrative support to as needed, including the maintenance of records, documents and databases,
Coordinates on drafting and distributing communications, including emails, notifications and announcements, and assists with scheduling appointments.
Prepares and mails patient communications and patient information as requested.
Processes incoming and outgoing mail and parcels to and from all carriers.
Greets guests and new hires for orientation and prepares access ID badges and PANTHERx welcome kits.
Coordinates and schedules vendors, contractors, maintenance and repairs in coordination with the Director as needed, ensuring a timely response to emergency needs.
Manages office supply purchases and maintains inventory in a timely manner.
Coordinates and prepares meetings and conferences space, at times arranging catering/refreshments as needed for meetings, orientation or special events.
Ensures that time-sensitive or important communications to employees is sent, often regarding visitors or operational issues.
Coordinates or assists with special projects as needed.

Required Qualifications

High School diploma or equivalent.
Minimum of 2 years of administrative support experience.
Proficiency in Microsoft Office suite.
Excellent communication skills with customer service orientation.
High attention to detail.
Knowledge of how to use office equipment (multi-line telephones, fax machine, scanner and copier).
Demonstrated organizational and multi-tasking abilities.
Demonstrated problem-solving skills.

Preferred Qualifications

Associate’s degree in related field.
3+ years related experience.

Work Environment

This position operates in a professional environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit, see, talk, or hear. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms. Visual acuity is necessary for tasks such as reading, observing surroundings, or working with various forms of data.
