We are looking for a highly organized and motivated Office Admin to join our team. The ideal candidate will have strong communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently. As an Office Administrator, you will be responsible for ensuring the smooth day-to-day operations of the office by handling administrative duties, supporting staff, and ensuring the office runs effectively.

Key Responsibilities:

Office Operations:

Oversee general office operations, ensuring a clean, organized, and well-maintained workspace.

Maintain office supplies and inventory, ordering items as needed.

Manage office equipment, ensuring proper functioning and maintenance.

Administrative Support:

Answer and direct phone calls, emails, and in-person inquiries.

Prepare and distribute office correspondence, memos, and documents.

Organize and schedule meetings, conferences, and appointments.

Assist in the preparation and organization of meetings and events.

Print invoices, scan and reply text messages.

Prepare order and track for delivery.

Document Management:

Maintain filing systems, both physical and electronic.

Handle incoming and outgoing mail and packages.

Assist with preparing and processing reports, presentations, and spreadsheets.

Support for Teams:

Provide administrative support to various departments and team members.

Assist with HR-related tasks, including maintaining employee records, coordinating interviews, and onboarding new employees.

Help with accounting-related duties such as processing invoices and expense reports.

Project Coordination:

Assist in coordinating projects and tasks, ensuring deadlines are met.

Manage office calendars, including scheduling appointments and tracking key deadlines.

Requirements:

Education:

High School Diploma or equivalent (required).

Associate’s Degree or Bachelor’s Degree in Business Administration or related field (preferred).

Experience:

Minimum of 1-3 years of office administrative experience (preferred).

Experience with office software, including Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Skills & Abilities:

Strong organizational and time management skills.

Excellent communication skills, both verbal and written.

Ability to handle multiple tasks and prioritize efficiently.

Strong attention to detail.

Ability to work independently and as part of a team.

Positive attitude and strong problem-solving skills.
